As with any other venture, we measure the success of an e-commerce channel by its performance. Assessing this performance involves analyzing numerous, multi-faceted sets of business data. A few of the key measurements include cost, revenue, customer engagement and satisfaction, as well as many others. We measure each of these data sets with e-commerce KPIs, or key performance indicators.

KPIs are not a new concept in the business world. Nevertheless, e-commerce has introduced many new KPIs that are specific to doing business on the web. For example, site traffic is a KPI which measures how many visitors access your website in a given time. Bounce rate is another, telling you the percentage of users who leave your site after viewing a single page within a specific timeframe.

As a rule, Google Analytics is one of the leading free website analytics tools for measuring how people find and use your website, including the KPIs mentioned above. It provides detailed statistics on overall website performance that allow you to refine your business strategies based on user behavior.

But many of the most important e-commerce KPIs are the same ones offline companies have always used to assess business performance. ERPs make it easy to collect and interpret this data. With an ERP-integrated e-commerce solution, the data transparency between the two systems makes analysis even easier.

Here are 3 crucial e-commerce KPIs you can measure directly from your ERP.

Cost of Goods Sold (COGS)

One of the principle objectives of any business is to reduce cost. The goal is to produce, market, and sell goods for the lowest possible cost in order to maximize the profit margin, while still ensuring quality and customer satisfaction.

Cost of Goods Sold, or COGS, is one of the most effective e-commerce KPIs for determining this. It looks at all the costs a business incurs in order to sell a specific product. This includes manufacturing or acquisition costs, marketing costs (such as money for ads), employee costs (such as wages), and other expenses.

An ERP-integrated e-commerce solution naturally lowers operational costs by automating many of your simplest (but most time-consuming) business processes.

Take order processing as an example. When a customer places an order in your web store, you normally have to copy the order information over to your accounting software. Then you have to invoice the order, and copy the invoice back over to your web store. This process might only take a few minutes. But the more orders you get, the more those minutes add up—and more you risk making a (potentially expensive) mistake.

With an ERP-integrated e-commerce solution, this whole process happens automatically. Not only does this eliminate the time you would have to spend paying employees to do it manually, but it also eliminates the possibility of human error. By lowering your cost per order, integrating to your ERP can dramatically reduce your cost of goods sold over time.

Average Order Value

One of the most important e-commerce KPIs is average order value. This KPI is exactly what it sounds like: the average value of an order your web store receives.

Unlike COGS, where the KPI should gradually decrease, we want the average order value to go up. It is closely related to other sales-centered e-commerce KPIs like conversion rate, which is the percentage of site visits that lead to a purchase. Increasing these KPIs is the way to maximize sales growth.

With average order value, we’re not necessarily making more sales (i.e. higher conversion rate). Instead, we’re trying to increase the amount customers spend on each order. Note that this KPI does not necessarily target returning customers, as it factors in first-time sales as well. If a new customer spends $10 on average the first time they visit, eventually we want new customers spending $15, and $20.

Cross-selling and upselling are among the most effective strategies for increasing average order value. E-commerce platforms provide built-in tools for this, such as complementary item suggestions. For example, if a customer is browsing printers, you can configure your web store to recommend ink cartridges and paper. Depending on your e-commerce solution, you can also bundle these items together in kits.

Another effective strategy for increasing average order value involves structuring your prices to offer a discount once the customer’s order meets a certain threshold. This can be a direct discount, such as 5% off on all orders over $100. Free shipping is arguably even more effective. Managing complex price structures like this is obviously much easier with an ERP-integrated solution.

New Customer Orders vs. Returning Customer Orders

Customer satisfaction is a crucial metric for any business. There are numerous e-commerce KPIs for measuring it.

New customer orders vs. returning customer orders tells you how many new customers you have acquired in a given period. But it also tells you how many customers are coming back. This is important for two reasons.

First, returning customers tend to spend more than new customers. So consistently bringing customers back to your store is likely to have a positive impact on your average order value. In fact, these two e-commerce KPIs are very closely linked.

Fostering customer loyalty is vital to the long-term health and sustained growth of an e-commerce business. Virtually anyone can set up a web store and begin selling products. Differentiating your brand is the only way to stand out in saturated market, and customer loyalty is the lifeblood of brand recognition.

Some of the most effective loyalty-building strategies overlap directly with average order value. Loyalty programs and coupons are two examples. By offering loyalty points, you provide customers with a reason to return to your store and make additional purchases. Offering more points for bigger purchases encourages shoppers to add one more item for extra points.

Coupons work exactly like the discount method we discussed above. The difference is that the coupon can serve as the customer’s whole reason for returning to the store.

We’ve looked at three crucial e-commerce KPIs. There are many others, all of them important to your business growth. An ERP-integrated e-commerce platform makes it easier not only to assess these KPIs, but to improve them dramatically.

Natural disasters are just that - natural. There's nothing we can do to prevent them. Hurricanes, tornadoes, fires, earthquakes, tsunamis, etc. All of these natural disasters can wreak havoc and set you back - both personally and professionally - for long periods of time as you attempt to recover.

When natural disasters strike, personal safety is (and should be) everyone’s first priority. However, we also know that natural disasters can have a huge impact on businesses. Many companies don't have a disaster recovery plan in place, and for those companies, it can be even more difficult to get back up and running. So how can businesses feel confident that, even when catastrophe strikes, they can recover?

We can hardly believe it ourselves, but April 2 marks the one-year anniversary recognizing Microsoft’s launch of Dynamics 365 Business Central. This addition to the Dynamics portfolio offered a new option for small-to-medium-sized businesses, allowing them to benefit from a management solution boasting a formidable range of functionalities designed to meet their day-to-day demands.

To cloud or not to cloud. Let’s take a look at what you need to know as you ponder that question.

BI360 Cloud, by Solver, was launched almost 2 years ago. It’s a comprehensive Corporate Performance Management (CPM) system, supporting Reporting, Budgeting, and Business Intelligence, and it’s now Cloud based, as noted in my previous BI360 blog. It is available both in the Cloud and as a Private Host offering for installation on premise or with a hosting provider.

So which option is best – for new installations or if upgrading from an existing version?

Cloud Technology – As the name infers, the new generation of BI360 uses Cloud technology. This means we access the system using internet technologies and the main computing takes place on a different machine. This is in contrast to earlier technology, which relied on Microsoft Excel accessing your data over your network.

BI360 Cloud is not only available in the Cloud, it also brings this technology to the Private Host/On-Premise environment. It’s important to note that both deployment options use the same code base, so we have essentially the same functionality under either deployment scenario. However, the infrastructure requirements are more extensive for Private Host installations than previous versions of BI360.

Deployment Considerations – BI360 Cloud is a big step forward from previous generations. If you are acquiring BI360 Cloud, or contemplating an update to this version, you should consider your options carefully and weigh these considerations:

  • Cost – Generally speaking, a Cloud implementation is less expensive than a Private Host/On-Premise implementation. The licensing price is identical for both options. However, the Cloud implementation includes your servers, SQL software licensing, usage, updates, and related maintenance.
  • Scalability/Availability - As your business grows, and/or you more fully use BI360 Cloud, a Cloud implementation automatically provides the resources you need. With a Cloud implementation, the resources are available when you need them, for Month-End Closing, Budgeting, and the like. In a Private Host implementation scenario, the management of these functions falls to your team, i.e. you must provide the necessary resources.
  • Security/Disaster Recovery – Two of my clients suffered Ransomware attacks last year. To say they were distressed is a vast understatement. Both clients had sophisticated IT staffs and employed what they believed to be good, even best, security practices. Cloud implementations offload the basic security and disaster recovery issues to the vendor, who provides superior security and recovery.
  • Mobile/Remote Access – Access to reports, budget input, analytics, etc. is through a Web Portal – typically via a Web Browser, Excel or PowerBI. With a BI360 Cloud implementation, secure remote access to the Portal is automatically provided.
  • Data Connectivity – The primary source of data for BI360 Cloud is typically the business ERP or CRM system – Microsoft Dynamics, Acumatica, Sage, Intact, SAP, to name a few. BI360 Cloud provides connectors for these and other environments. However, you may wish to continue to use previously built integrations, if you are updating from a previous version, which may influence your decision to remain in an on-premise environment.

Bottom Line – Choosing between a Cloud or Private Host implementation of BI360 Cloud requires taking into account multiple consideration. Arguments for each are:

  • Cloud Implementation – This option enables small to medium-sized businesses, with limited resources, to take advantage of industry-leading compute, storage, and networking capabilities that can scale on demand as needed. For businesses using a Cloud based ERP or CRM, it’s a no brainer. Go with a Cloud implementation of Cloud BI360. Businesses using an On-Premise or Hosted ERP or CRM should give serious consideration to transitioning to a Cloud environment – reducing your reliance on internal resources.
  • Private Host/On-Premise Implementation – This option enables you to leverage existing infrastructure, take advantage of your investment in existing integrations, and/or utilize advanced integration capabilities of tools like SSIS (SQL Server Integration Services). This can be significant when integrating with multiple in-house systems in addition to the ERP and CRM, such as Payroll, Time & Expense, Job Cost and the like.

In summary, if you’re interested in a CPM solution, BI360 Cloud is worth a look. It’s a valuable upgrade for existing BI360 users, especially since it’s available either in the Cloud or for Private Host/On-Premise.

“This morning we’ll be going through some of the new features that Microsoft introduced into Business Central with the last major release. So, there will be a cadence of Microsoft release schedule where they will have major releases in the Fall and the Spring. So last major release was in the fall and then we expect another major release this spring between May and June timeframe, just before summer. For a complete list of the updates that were in the last release, I’ve put the link to the documentation in the PowerPoint which you can download. That will give you a full list of features and more details on the features that we are going to cover here this morning.

 

 
Microsoft has done a lot to manage the data within the system. So, couple things they have added to make data entry a little bit easier and things they have added to help find information as well as export that information out into things like excel or word. Also, we’ll be looking at some of the copy paste features that they have added in the last release. Some of the big request from the customers to Microsoft were that they had provided a lot of out of the box reports, but people always want to tweak those. In the release prior to this, we had to re-create those. We had to start from scratch and do them. Microsoft has now given us the ability to copy some of those core reports and start to modify them and make them our own. So, couple of things to help with the efficiency of getting somebody up and running as well as using some of the examples to start from and then letting users to expand and grow on top of those examples.

 

The last thing we are going to look at is not necessarily something that’s new but something that we have kind of seen not as utilized as I think it should be. So, part of it is that it takes a little getting used to from the reporting perspective but really one of the powerful features within Business central is the ability to create your own dimensions and use those dimensions when you post transactions. It’s a great way to tag projects, departments, product lines. People come up with a lot of different pieces of information they want to collect and then it becomes how do we get that out, and what are our tools to be able to report on those, all that information we put into the system. And that last one over there - analysis views and account schedules - is going to show two kind of separate reporting tools that we can use together as a way to get that information out of the system. So, we will be doing that towards the end.”

Remember this?

Remember when the business world switched from DOS to Windows? Anyone? Well, I admit it, I was there. And it was a huge deal. There was a lot of fear and uncertainty! How would businesses cope? How would people learn this crazy new concept? Major technological changes were pushing organizations to implement not just new software and hardware, but entirely new processes and procedures. Many companies felt pressured to change from perfectly functional practices to the big new thing. A lot of people were just unsure what to do.

You may not have experienced the switch from DOS to Windows, but you can probably understand it in light of software solutions moving to the cloud today as well as a major shift in the labor force being on the horizon. Here we are again - a lot of people are just unsure what to do.

I started Integrity Data in 1996 with the intent of helping customers solve business problems by making Great Plains accounting software even better than it was out of the box. We made it our mission to learn about what companies need, and then find or create the best solutions to meet those needs. As our company grew in the late 90s and early 2000s, so did our reputation for solving human resources and payroll concerns. As of November 1, 2019, the 40% discount to migrate your Microsoft Dynamics AX licenses to Dynamics 365 (D365) Finance and Operations online subscription licenses will be discontinued. If you are considering moving to D365 Finance and Operations (FO) in the future, let Arbela help you take advantage of the significant cost savings on the transition to D365 subscription licenses. Here is what you need to know.

 

Who qualifies for the discount?

  • Clients that are current on their Business Ready Enhancement Plan (BREP) Agreements for Microsoft Dynamics AX2009 or AX2012
  • The BREP is your software assurance plan giving you access to service packs, bug fixes, hotfixes, etc.
  • The BREP Agreement is normally paid yearly and is 16% of your paid list price for your Dynamics AX instance

 

What if I’m not ready to upgrade?

  • Once you transition your licenses, you will have 18 months to complete your upgrade to D365
  • During those 18 months, you will have dual use rights. Meaning that during that 18 months you are still running your AX2009 or AX2012 system, as usual, while you test and implement D365
  • Arbela will help you build the business case on the cost savings and benefits available if you take advantage of the 40% discount vs upgrading later

 

What is the term of the subscription?
If you choose to go with a Cloud Service Provider (CSP) such as Arbela Technologies, you will have an option to sign up for a 3-year CSP Agreement for your D365 transition licenses.

  • The agreement will be valid for 3 years from the date of purchase
  • After the 3-year term is complete, the licenses will revert to list price on your CSP
  • D365 FO will require a minimum of 20 licenses on a CSP

You may also choose to go with a Large Account Reseller (LAR) on an Enterprise Agreement (EA).* The LAR’s agreement terms may vary, but usually is a minimum of 3 years as well.
*An EA generally requires a minimum of 250 licenses.

Over the past 2 years, Crowe has helped both private and public companies work through a myriad of issues when implementing the new lease accounting standards under FASB ASC 842 and IFRS 16. Whether your company has already created a plan to address these changes or you are just beginning to grasp what the changes will mean for you, let’s take a closer look at the lessons learned thus far:

1. Start early. Our experiences showed us that the earlier a company started implementation, the easier and less costly it was.

2. Lease contracts are everywhere. Everyone underestimates the effort required to collect lease information and organize it centrally in a uniform format.

3. Complexity abounds. Creating a common data template for collecting lease data and standardizing data requirements is a must.

4. Accounting will be stretched. Budgets should include additional accounting staff to gather lease data and interact with other departments and branch offices.

5. Involve other departments. Bring in legal, purchasing, information technology (IT), real estate, and others involved with leases to be part of the transition process.

6. Communicate early and often. Conversion to new lease accounting processes requires change for all departments and divisions involved. Communications should provide regular updates on new processes and requirements.

7. Take a project management approach. Many stakeholders need to be involved in data collection and trained in new policies, procedures, software applications, and reporting requirements. The accounting department can serve as the project sponsor and central point of contact as it leads the transition.

8. Be prepared for surprises. Nearly every company found some unexpected twists as they delved into implementation. One company had leases that were verbal agreements – but they must be cataloged for the new standard.

9. Keep your auditors informed. The transition approach your organization adopts may have significant impact on your company’s balance sheet. Share information on how your company will handle lease accounting going forward and the technology solution you adopt.

10. Invest in the right software. Involve IT early to help evaluate software solutions and advise on selecting one that streamlines data collection and can be easily embedded in existing company systems.

Integrating Dynamics 365 Business Central with Dynamics 365 for Sales can improve your company’s efficiency. Keeping the data current in both systems at once cuts down on manual re-entry, saves time and reduces errors.

The integration also allows your employees to work smarter. For example, a salesperson working in Dynamics 365 for Sales can use the price lists and inventory availability in Business Central to give a customer an accurate quote and delivery window when creating the sales order.

The below record types can all be synchronized between Dynamics 365 for Sales and Business Central. You can choose which record types you want to sync or choose to sync all available. Arrows indicate whether the records synchronize both ways or only one way.

The process to integrate Dynamics 365 uses mappings or “couplings” to associate specific types of data records in the two apps to avoid duplication. There are several rules and a set order for how to couple data. For example, you must synchronize your users in Sales with Salesperson records in Business Central before you can synchronize the Sales Accounts and Business Central Customers.

Microsoft offers an assisted setup guide in Business Central to walk you through the process of connecting the two systems. You can then test that everything is working properly before beginning the actual synchronization process.

The task sounds simple enough, and in some cases, it is. We can say from firsthand experience that the two systems truly do work well together. However, we’ve also learned firsthand that connecting the systems can quickly turn into a bigger task than you might think.

When to get help for your Dynamics 365 integration

You might want help integrating the two systems if any of the following conditions exist:

  • New to ERP – Because Dynamics 365 Business Central is a complete Enterprise Resource Planning (ERP) system, it’s more complex than a simple accounting software. This means that seemingly simple tasks can quickly become more complicated than you might expect.
  • Short on Time — The synchronization process won’t take weeks, but it will take hours. If you don’t have adequate time to create the settings and test the process, you might want to delegate the task.
  • Mixing SaaS and On-Premise — While this is not common, if you do have one system in the cloud and one on-premise, synchronization will be a more complicated process.
  • Other Apps/Integrations — Any apps or other integrations that affect workflow or processes within Dynamics 365 for Sales could potentially disrupt the system’s ability to sync with Business Central. Dynamics 365’s own Project Service Automation is a great example of this.
  • Custom Fields — The Dynamics 365 integration setup guide is intended for users with default settings only. If you use custom fields (or a custom workflow in Sales), you might need help figuring out how to integrate the two systems without losing those additional fields.

The Benefits of Budgeting with Budget Templates Part 2

This article focuses on part two of the importance of budget templates series.

 

In the first part of the Top Benefits of Budgeting with Budget Templates series, we mentioned that budgeting is a topic that is not very common in many organizations. Yes, it can be a painful process, but it is necessary to communicate the significance of a budget to the entire company so the employees take ownership of it. In this article, we will continue the discussion of the benefits of budget templates.

We’ve covered various types of templates such as assumptions templates, capital expenditures templates and more to help organize your budget. Another template that is commonly used across most organizations is an expense budget, which allows for input for accounts that have not yet been budgeted through other templates like personnel and capital.

Industry

There are templates that are more specific to the industry or built towards the particular specifications of the organization. Typically these templates will be the revenue and cost of sales templates. There are probably many templates that are being used today such as the final industry template which is a commission template and it calculates the monthly salary and commission by employee. The template can include employee termination as well. It’s very important to try to use a few templates that can be designed and used across the entire organization.

Tie to Goals

Tie the budget back to your company goals. If your goals and your budget are not consistent, then what truly are the goals for the company to achieve? Goals should be communicated to the entire organization so that the budget is consistent with the goals and there is no confusion among the staff.

Here’s a tip: There are a few ways to assist the users in knowing the goals and initiatives while entering their budgets and forecasts. It is one thing to communicate it in meetings and in documentation, but it is much more effective to include the information directly in the template.

Top-Down

Top-down budgeting is a valuable first step in the budgeting and forecasting process because it allows a limited use of resources to quickly create a budget or forecast early in the process and also allows for a comparison to the bottom-up budget, which can take months to complete.

There are several ways to create a top-down budget, but our team has come up with a solution that will enable a top-down budget to be created in minutes. It is a called a Breakback template.

A useful feature in Microsoft Dynamics 365 Business Central is the ‘Item Types’ where you can set an Item depending on how your company is using it.

For example, if you use the items for consumables such as; packaging tape or office supplies and don’t track the inventory, or scenarios where you treat an item as a time unit to track the spent labor for supporting the business, for example, a consultancy hour.

The Item Types feature has been further enhanced in Microsoft Dynamics 365 Business Central compared to the previous versions, ‘Item Types’ were only categorized as either “Inventory” or “Service”. A third Item Type called “Non-Inventory” has been introduced in Microsoft Dynamics 365 Business Central. There is now better control in terms of setting up the pricing for items and defining the expense or revenue accounts, rather than the very limited option of using G/L Accounts or Resources in the purchase or sales order lines. The ‘Item Type’ can be entered in the ‘Item Card’ as per Figure 1 below:


    The three ‘Item Type’ options:

  • Inventory
    This is the standard type of Item that we are all familiar with where the physical item stocks are tracked and values are accounted for. There is an actual item handling involved, therefore the Inventory item type is widely supported across different areas which include; Sales, Purchasing, Job Consumption, Service Consumption, Assembly Consumption, Production Consumption, Assembly Output, Production Output and Item/Physical Inventory Journals.
  • Non-Inventory
    These are typically low-cost physical items that are used internally by the business where the item’s stock and value is not tracked. This option is mostly used if you want to record item purchases and capture it as an expense without affecting inventory. A good example of this item type is expense items such as office supplies. This Item Type cannot be used as Assembly Output and Production Output.
  • Service
    These are non-physical items which often represents a time unit such as labor time. There are only limited transaction types for Service items that include; Sales, Purchasing, and Job Consumption.
    Some of the vital points about Non-Inventory and Service Item Types are below:

  • An Item Ledger Entry is created when a sales or purchase transaction is posted. But there will be no Cost Amount Actual and Remaining Quantity that will be recorded, hence the inventory and value are not tracked. The Quantity is still recorded in the ILE and the value is recorded in the Non-Inventoriable field.
    See Table 1 below

    • The posting to respective the G/L Accounts has changed because Inventory Accounts and COGS Account are not recorded. It uses the combination of the General Bus. Posting Group and Gen. Prod. Posting Group to map the G/L Accounts. Table 2 below shows which G/L Account will be recorded when a Purchase or Sales transaction is posted.

      • Non-Inventory and Service items are excluded in the Inventory Valuation report.
      • Item Journal adjustments or a stocktaking cannot be posted for these item types.
      • Location Codes cannot be used when posting transactions. The transaction can still be posted if the location code is blank and the Location Mandatory field is enabled in the Inventory Setup.
      • Stock out warnings, planning parameters, reservations, item tracking, inventory posting groups cannot be used.
      • Using Item Types allows better control in processing transactions especially purchase and sales as you can setup pricing structure like a normal item while ensuring the transaction entries are recorded to the correct expense or revenue accounts. It also enhances the reporting capability as it records the entries in the Item Ledger Entries so you can access historical information and report on purchase or sales trends.

      Last year we introduced the General Data Protection Regulation (GDPR), a European Union (EU) law enforceable as of May 2018, and explained how its scope can have a significant impact on your business. At its core, the personal data privacy of any individual residing within the EU is protected by the GDPR. This includes companies that are registered outside the EU’s border but collect, interact with, and manage personal data of individuals living within the EU. As a result, GDPR will require you to assess and update personal privacy policies, implement or strengthen personal data protection controls and breach notification procedures, deploy highly transparent policies, and review your technology footprint and staff training.

      Software alone cannot make your organization GDPR compliant. However, a large portion of compliance requires evaluating how your enterprise resource planning (ERP) application controls an individual’s personal data. In this second article of BroadPoint’s GDPR coverage series, you will learn how key features within Dynamics GP can be brought to bear on data discovery and reporting as you navigate your GDPR compliance journey.

      GDPR Key Players

      Before jumping into Dynamics GP’s functionality, it’s important to know the three primary GDPR players:

      • Data Controller defines your company or you as the controller of data collected through direct employee interaction with “individuals” covered by the GDPR (customers, members, prospects, and vendors) or through a related business solution such as an e-commerce portal.
      • Data Processor is a managed service or hosting provider that will provision, control, and maintain the infrastructure holding and processing the data collected.
      • Data Subject identifies the individual or entity from whom you are collecting data for purposes of conducting a business transaction or event.

      Discover: Consider the Dynamics GP Environment

      If you have deployed Dynamics GP with the required Microsoft SQL Server internally (“on-prem”), you are, by default, the Data Controller and Data Processor. This environment simplifies your GDPR compliance assessment somewhat. If you have deployed your solution offsite in a hosting or Cloud facility, and you are not in complete control of that environment, you will need to evaluate the Data Processor’s role during your study.

      Discover: Identify and Inventory Personal Data

      The ability to clearly identify where you store personal data and inventory data fields can serve as a foundation for subsequent tasks and requirements under the GDPR. There are several ways to find personal data in your implementation of Dynamics GP. First, you can identify a transaction through the Dynamics GP user interface and print the record to hard copy or soft copy. This method is less likely to provide a suitable layout per a GDPR standpoint but is an option when you must provide insight into a specific record or transaction as requested by a Data Subject. This also will provide a way to correlate the personal data to the data fields and related tables.

      Second, you can export a Data Subject’s information using the Dynamics GP SmartList inquiry capability. SmartList allows specific field and table metadata to be selected and printed—as an Excel-formatted file, for example. This inquiry can be saved and used multiple times when the same Data Subject requests information about records retained in Dynamics GP.

      When using Dynamics GP SmartList, most personal data is likely, but not exclusively, residing in one of the following “master” tables:

      • Customer
      • Vendor
      • Contact (when of type Person)
      • Employee
      • Salespeople/Purchaser
      • Resource (when of type Person)
      • User

      Additionally, “transaction” tables will hold personal data such as:

      • Customer Sales Quote/Order Invoice and Cash Receipt Transactions
      • Vendor Purchase Orders/Receiving/Invoice and Payment Transactions
      • Employee Human Resource/Payroll Transactions

      These listings help to narrow a personal data search, and the exact tables will depend on each Dynamics GP use case. Any additional products, when implemented, introduce supplementary data tables to consider during your assessment. It is your responsibility to ensure that personal and sensitive data are located, inventoried, and classified appropriately to meet your obligations under the GDPR.

      Discover: Purge Records

      One aspect of your GDPR assessment will include evaluating the length of time you retain records and, more importantly, responding to a Data Subject’s request to erase personal data. You must define how often you purge data from Dynamics GP and whether it will affect the master or transaction records.

      As with most ERP solutions, business logic creates the referential integrity of the records. For example, a Dynamics GP user cannot remove a customer record when certain circumstances exist, including unposted, open, or historical records. Unposted and open records imply you are actively working with the customer. In this instance, follow standard operating procedures to define which controls must be in place to restrict access to the personal data.

      Although you can’t delete data that supports your financial transactions, if individuals request their personal data be erased, you can mask certain portions of their data. The Dynamics GP user interface makes this possible prior to posting a record but requires a modification to change a record after the fact.

      Report: Maintain and report on audit trails

      An important aspect of the GDPR is to maintain audit trails and other evidence that demonstrates accountability and compliance with its requirements. In Dynamics GP, you can track and record data changes within the application prior to posting. The data and operations that can be audited in Dynamics GP include:

      • The creation, modification, and deletion of records
      • The addition and deletion of users
      • The assignment of security roles

      You can use logging and auditing tools in Dynamics GP to record and track high-level events associated with amending and erasing data, roles, and privileges. For more information, search for Logging Changes in Dynamics GP and Managing Users in Dynamics GP.

      - Your journey to GDPR compliance -

      Microsoft publishes guides through its Service Trust Portal that demonstrate compliance with global standards and regulations, describe how software protects customer data, and provide guidance on managing Cloud data security and compliance using products such as Dynamics GP. Microsoft is updating its documentation to include detailed information on product functionality and controls, data protection impact assessments, audits, recordkeeping on processing, and information regarding sub-processors.

      Using Dynamics 365 for Project Management

      As a project manager, you can use Dynamics 365 Business Central to develop and present a solution to your customers that includes billable time, tasks, mobility, resources, planning, and so on.

      To see just how effective Dynamics 365 can be for project managers, we’ll look at a five step process centered around creating a new job and invoicing the corresponding customer. The steps include:

      • Creating a new job
      • Setting up a time sheet
      • Approving the time sheet
      • Creating a job journal
      • Invoicing the customer

      Creating a Job in Dynamics 365

      First, we’ll log into Dynamics 365 as a project manager. When logged in as a project manager, you’ll immediately have access to all of the information needed to perform your work effectively.

      To get started, we’ll create a new job. There are two ways this can be done: you can use an existing job template to create the new job, or simply start a new project. If you opt to use an existing job, it’s best to select a previous job similar to the one you’re currently setting up.

      Under Start, select Create New Job. Then, select Yes to create a new job from an existing one. You can then choose which job to use as your template and select which tasks to associate with the job. You have the option of picking individual tasks or a range of tasks. When you’re done, click Finish and the new job will be created.

       

      Setting Up a New Time Sheet

      Now, let’s create a sample time sheet for a consultant who’s working on this new job.

      Under Time Sheets on the dashboard page, select Open Time Sheets. Open a time sheet, and you’ll notice that there are tasks which individual entries can be assigned to. We’ll assign this time sheet to the Consulting task that’s associated with the current project. Finally, we’ll input the time involved for this task, then submit the time sheet for approval.

       

      Approving a Time Sheet

       So, the consultant working on this project has submitted their time for approval. As a project manager, you’ll need to approve it.

      On the project manager dashboard under Approvals, there will now be a new time sheet available under Time Sheets...Approve. Click here, open the corresponding time sheet, and then click Approve at the top of the screen to approve the time sheet.

       

      Creating a Job Journal 

      Back on the dashboard screen, click the plus sign above Job Journal under the Start heading.

      Now that the consultant’s time has been submitted and approved, Dynamics 365 can set up your job journal for you automatically. When you click the Suggested Lines option at the top of the screen, the approved time sheet entries associated with various job tasks will be imported into the job journal. Click Post in order to post the journal lines.

       

      Invoicing Your Customer in Dynamics 365

      Finally, we can invoice the customer for the job in question.

      From the project manager dashboard, select Jobs from the top-left corner of the screen. Next, click Process, and then choose Create Job Sales Invoice from the drop down menu. Click OK to complete the invoice creation.

      Now, we’ll post this sales invoice. Select Process again, followed by Sales Invoices/Credit Memos. Next, click Open Sales Invoice/Credit Memos. From here, you can select individual lines or post all of the tasks listed. Either option will result in the creation and posting of an invoice for your customer.

      • Finite Loading: Manage finite loading of capacity-constraint resources. Taking capacity constraints into account so that no more work is assigned to a work center than the capacities can be expected to execute during a given time period. This is a simple tool without any optimization. Used with the Order Promising module, Finite Loading also enables the system to calculate capable-to-promise (CTP).
      • Machine Centers: Add machine centers as capacities to the manufacturing process. Machine centers are designed to help you manage capacity of a single machine/producing resource. With machine centers, you can plan/manage capacity on several levels: on a more detailed level for machine centers and on a consolidated level for work centers. Machine centers allow users to store more default information about manufacturing processes, such as setup time or default scrap percentage.

      Budgeting is a topic that isn’t very popular in many companies, and it can be a time-consuming project for many employees.  A tip is to not make complicated templates as the goal is an estimate for the coming year.  If employees can’t have small variances, then they will make choices that only impact their results against the budget and not what is in the best long-term interest of the company.

       

      The goal of a budget should be to give an approximate estimate of how the organization will do in the coming year and to provide details on how money can be spent, which should be based on the strategies and initiatives of the organization. The goal should not be to budget down to each dollar.  For instance, one company budgeted down to an employee cost of $6.52 per month per employee.  The company was asked whether the cost could be estimated as a total for each department, but they claimed they needed it down to the dollar; however, budgeting at the department level and allowing a five percent variance would have had no impact on the decisions that the company made.  Another important item to ask yourself is “what is an acceptable variance for an organization?” For example, if there is a five percent variance in the revenue, then would this impact the decisions that the company will make in the coming year?

       

      Personnel budgeting has a large impact for companies due to the high proportion of costs of a company.  A personnel budgeting template has similarities across all organizations. There are various variables to consider, such as the type of raise, number of raises, overtime, bonuses, commissions, taxes, benefits, and IT costs to name a few.  It is also good to keep in mind whether to budget by employee or by position.

       

      Budgeting by position allows an organization to ignore employee titles, terminations, and having to hire employees to replace a terminated employee.  It also enables budgeting by multiple employees.  As an example, a template can allow a manager to input how many accountants should be employed, what the average salary is, and what the average raise would be.  When budgeting by employees, then each accountant should be listed, the employee’s exact salary, each person’s expected raise, and all other information specific to each employee.  Budgeting by employee will be more accurate if there is little employee turnover, but it also requires more work. Another item to consider is separating out full-time and part-time employees, as there may be differences in the benefits that are allocated to part-time employees, such as overtime and 401k.  These are all calculations that must be created into the payroll form.

       

      A great way to start is to create an assumptions template, which allows an administrator to enter data that will impact the calculations of many templates and therefore does not have to be hardcoded into the templates themselves.  This data will flow from the form into all other templates. An assumptions template should include payroll tax rates, worker’s compensation rate, benefit rate (for health, dental, and vision), and the number of days in each month, which is used for accurate monthly allocation.

These additional users are licensed with Dynamics 365 Business Central Team Members.

      • Microsoft Dynamics 365 Business Central Team Member Licensing is $8/named user/month.

      The Dynamics 365 Business Central Team Members subscription is a “named user” subscription designed for users who are not tied to a particular function, but who require basic Dynamics 365 functionality.       Affordable Tools to Easily Fix Payroll Mistakes

      Have you ever entered the wrong pay code, applied time to the wrong department, or made a mistake on an overtime calculation? It happens. Probably more often than you’d prefer to admit. One simple mistake costs valuable time. Multiple mistakes can eat up hours, if not days. As your headcount increases, so does the time it takes to process timesheets into paychecks. Pushed to meet deadlines, the risk for mistakes also increases. Correcting payroll mistakes can be much easier with these two, affordable add-ons:

      • Negative Payroll Transactions offers a more efficient way to fix payroll mistakes than a 17+ step process in GP Payroll out-of-the-box. You simply enter a negative transaction. That’s it. The negative transaction is then automatically carried through the entire payroll process. The change is reflected on the payroll reports and shows up on the next earnings statement. Records update through to general ledger entries, appropriate credits or debits are made and an audit trail is created.
      • Negative Deductions Enhancement was designed specifically to address over-withholdings and saves valuable time in the payroll department.       By this functionality, users can understand how Microsoft Dynamics NAV can efficiently help sales teams to generate prompt and precise Purchase Orders (PO’s).

      Dynamics NAV empowers users to generate PO’s in the following discussed ways:

      Manual PO’s – Users can manually create POs through a smartly integrated user- friendly interface. The only limitation with this approach is, however, it takes longer time than desired. Moreover, the user feeding the information must need to be thorough with all the relevant and mandatory fields of the PO’s.

      Automated PO’s – The automated capability of creating PO’s leverages the embedded Planning or Requisition worksheets. Basically, the system automatically generates the required PO’s, however, users need to make sure that all the relevant configurations are correctly executed.

      The Item Vendor Catalogue is a unique and advanced feature that enables users to save time and efforts while manually generating the required PO’s. The functionality is capable of smartly configuring multiple vendors, for an identical item, within the Dynamics NAV which will assists users to quickly and accurately create PO’s.

      Following illustrations makes it easier to understand the PO generation process through Item Vendor Catalogue in MS Dynamics NAV:

      Access the ‘Vendor Card’ dashboard and go to ‘Navigate’ Tab and Click on the ‘Items’ option.

      Start entering the respective ‘Item Numbers’ and ‘Vendor Item Numbers’. Users can also feed in the relevant information in the ‘Lead Time’ field.

      All the information entered in the Item Vendor Catalogue will pass through the ‘Item Cross Reference’ table, as illustrated below.

      Alternatively, users can configure the Item Vendor Catalogue from within the ‘Item Card’ option.

      Microsoft Dynamics NAV even allows users to apply a look- up on ‘Cross Reference Number’ field, within the ‘Purchase Order Line’ while creating the PO. The look- up will filter the complete list, letting users to view only the vendor specific items that are to be supplied by the desired supplier. The capability ultimately saves the users’ time and effort in generating single or multiple PO’s while eliminates any need to feed in all the required information from the start.

      To Sum up: Intelligently integrated Item Vendor Catalogue in Microsoft Dynamics NAV provides various ways to generate the PO’s. As illustrated above, users can easily identify, select, and execute the desired PO generation process, depending on their business requirements as well as their respective system configurations.

      AKA Enterprises and Microsoft Azure: Helping The Commit Partnership to Build Better Schools

       

      As a coalition of more than 200 partners, The Commit Partnership works with local schools in the Dallas community. Its aim is to improve early childhood education, increase post-secondary student success, and ensure that educators receive the best training available. Further, the organization works to help local schools retain educators as part of the local school system.

       

      The Commit Partnership has collected more than 20 terabytes of data since its inception, making it a highly data-driven organization. However, the organization recently recognized that it wasn’t fully harnessing this information. In particular, The Commit Partnership needed to improve its data analytics so as to better tackle tasks such as:

       

      • Management of resources and funding
      • Statistical reporting
      • Providing consulting services to schools in the Dallas area
      • Strategy and decision making

       

      AKA Enterprise Solutions took on the task of helping The Commit Partnership reach its goals. By partnering with Microsoft and DataKind, AKA developed a multifaceted strategy custom tailored to the needs of The Commit Partnership. This included both migrating the organization’s SQL to an Azure installation on-premises, as well as replacing their existing SQL server with a SQL data warehouse. Additionally, AKA’s solution utilizes Azure Machine Learning and SQL Analysis Services to ensure that The Commit Partnership can take full advantage of the wealth of data available.

       

      As a result of this comprehensive approach, The Commit Partnership is now able to run highly relevant models against its data sets. The solution provided by AKA includes both machine learning and predictive analytics. In combination, these features enable The Commit Partnership to make the best possible strategic decisions on a day-to-day basis. From the initial proposal to final implementation, the entire process took less than two weeks.

       

      With the help of AKA, Microsoft, and DataKind, The Commit Partnership now has full command of their valuable data. The organization is now capable of extracting highly relevant information from its data set: for example, it recently found a 70% correlation between third-grade reading and student success in the future. Without the solution provided by AKA, The Commit Partnership couldn’t make these sorts of useful determinations.

      Each item in the order is clearly displayed, along with the number of units you have for fulfillment. You’ll be able to tell at a glance if items are available, or if they need to be purchased from a vendor or another third party. This is also the perfect place to get more details about each separate item and discover any item-specific notes on color, size or style that were not already included, via a built-in inventory card. This card has pictures for easy reference, a full description and details about the item; use these details to successfully and efficiently accomplish the order.

      Planning Ahead

      Business Central allows you to plan ahead and reorder inventory items as soon as you sell them, allowing for fewer delays and fewer unhappy buyers. This prevents the lengthy delays that could occur with selling an item that is low in stock or that you might be out of.

      A requisition worksheet is an exclusive Business Central tool that dramatically increases efficiency; just type in the items you are looking for and you’ll gain access to all worksheets, reports and journals related to tat item. This is also the place to generate purchase orders based on sales and recent trends; follow the prompts to generate purchase orders for what you need and move on to the next fulfillment task.

      Receiving

      Once your items arrive, Business Central makes it easy to input your new inventory into the system, so you have an accurate count of the items you have. You can generate a warehouse receipt and have the items placed in the proper location for easy fulfillment later. This is also the place to pay your vendor invoices in a timely manner. Following this system of fulfill, reorder, and receive ensures you always have enough inventory on hand and that you can locate these items promptly.

      One of the easiest ways to get started is by using the Power BI content pack for Dynamics GP 2018. With this content pack, you’ll get instant access to a variety of professionally designed reports. That way, you can focus on digging into the data and looking for insights, rather than on designing the report itself. A few of the reports included in the Dynamics GP content for Power BI are:

      • Sales
      • Inventory
      • Purchasing
      • Financials

      Choose a report that is most relevant to your role for instant insight. To give you accurate, useful information, each report in the content pack is built on the relationships that already exist between the relevant tables in your Dynamics GP database.

      The reports also go far beyond raw data and include several filters and calculated columns to help give your analysis a jumpstart. These include:
