What is QuickBooks?

QuickBooks is an accounting software package tailored towards small businesses and start-ups, developed by global technology platform Intuit. 

The software is designed to help small businesses and medium-sized companies manage their invoices, payroll and payments. The focus remains around on document records and the processes around them.

I What is Microsoft Dynamics 365?

Microsoft Dynamics 365 Business Central is an enterprise resource planning (ERP) solution with accounting functionality included and is designed for growing small to medium businesses with ambitions to scaling up their business processes. 

Its functionalities include a wide range of accounting features to help with project costing such as inventory management, cash flow forecasting, customer relationship management and real-time insights. The variety of capabilities makes Microsoft Dynamics 365 Business Central a great solution for many business applications.

I How do QuickBooks and Microsoft Dynamics 365 compare?

Scalability and accessibility
Both offer multiple different plans and accessibility to different features is dependent on the option you select. These plans spread across admin, tax and employee and project management features.

Microsoft Office 365 integration 

QuickBooks does not natively integrate with other Microsoft products. Even though you can export reports to Excel, there are data limitations which isn't likely to give a full picture when reporting. It's worth mentioning that QuickBooks online has less functionality than the QuickBooks desktop application. 

Update in real-time with Microsoft Dynamics 365 Business Central: As a cloud-based solution, it sits within the Azure cloud service, which means there is native integration with the rest of Microsoft's applications like Microsoft Outlook and Microsoft Teams. The benefit of this is that all the applications can seamlessly communicate with one another and pull through the information you need quickly.

Customizations and integrations 

Both QuickBooks and Business Central allow users to customize the platforms. On QuickBooks the user can customize the look of forms, invoices quotes and receipts.

The homepage and bookmarked tabs can also be customized per user, so navigation around the platform is straightforward based on the information you need to access. Both platforms allow pre-set reports for all system areas. QuickBooks allows custom report creation and sharing capabilities, and Microsoft Business Central offers account schedules and native integration with Power BI for deeper analytical capabilities.

Multi-lingual functionality
Microsoft Dynamics 365 Business Central offers support for over 30 languages, whereas QuickBooks does not.

Multi-currency functionality
QuickBooks offers a limited multi-currency functionality. On the other hand, Microsoft 365 Business Central offers full multi-currency transactions capabilities, which can automatically update through exchange rate services. 

Financial audit trail
Both platforms record document trails but only Microsoft Dynamics 365 audits financial postings.

Why it is cool

Intuit QuickBooks offers a platform for freelancers and new businesses, offering a low-cost solution that is easy to use and set-up. 

Why it may not be right for you
Since it was designed to be quick and easy, as businesses grow, QuickBooks may be missing some of the key features or reporting capabilities that other accounting software systems offer. It is a good problem if you are noticing that you are missing some features, that means your business is growing!

Why is it cool

Microsoft Dynamics 365 Business Central is a user-friendly platform that will grow with your organization. It is more than just an accounting system; it offers all the functionalities from an operational and reporting standpoint to help you stay on top of your current and future business needs. Business intelligence solutions help you to support stakeholders across your entire business. The platform also has major updates twice a year to keep you up to date from a security and new business requirements perspective. 

Why it might not be right for you

A downside for some businesses could be that the platform doesn't integrate seamlessly with applications outside of the Microsoft deck. However, Microsoft offers a range of quality applications, and this should encourage users to make the switch towards a full suite of integrated services. 


Which is better for my business: Microsoft Dynamics 365 or QuickBooks?

The short answer: the platform that best suits your business needs and budget. If you have plans or already experiencing rapid growth, a platform that can grow for your business may be the choice for you.
