Dynamics 365 simplifies the licensing of business applications. The primary licensing method is by named user subscription. The Dynamics 365 user subscriptions classify users into two types: full users and light users.

Full user licenses

Full user licenses are for those who need the complete functionality of Microsoft Dynamics 365BC’s feature-rich business applications. Full users might include salespersons, customer service reps, finance employees, controllers, and supply chain managers. In the past, these were referred to as Pro users or Power Users. These full users are licensed with a Dynamics 365 Business Central subscription.

Light users

Light users are other users in your organization who don’t require full functionality and access to your Dynamics 365BC solution. These light users might need read-only access to reports or business data. They can perform basic tasks such as time and expense entry or updating HR records. There may be heavier users of the system who may not necessarily require full-user access. These additional users are licensed as Dynamics 365BC Team Members.

Team members

The Dynamics 365BC Team Members subscription is a named user subscription. It is for users  not tied to a particular function but who need some ongoing access to Dynamics 365. The Team Members subscription is a limited-user option that includes read access and some write access for specific tasks.

For full read access to Dynamics 365BC Essential and Dynamics 365 BC Premium for a given tenant, you’ll want the Dynamics 365 Business Central Team Members Subscription License (SL). Also, the Dynamics 365 Business Central Team Members SL includes some limited use write access to Dynamics 365BC Essential and Dynamics 365 BC Premium.

Dynamics 365BC Team Members subscription also includes the “PowerApps for Dynamics 365 Applications” license. Dynamics 365BC Team Members users can use PowerApps to access Dynamics 365 within the bounds of their Team Members license.

Dynamics 365BC Team Members subscription requires that at least one other user have a Dynamics 365BC Essential or Dynamics 365BC Premium license.

Business Central Team Members license allows users to:

  • Read everything in Dynamics 365BC
  • Update existing data and entries in Dynamics 365BC.  Existing data refers to information such as customer, vendor, or item records that already exist. Some specific edits are permissible on locked documents, for example, updating due dates on customer ledger entries.
  • Approve or reject tasks in specifically assigned workflows
  • Create, edit, delete quotes
  • Create, edit, delete personal information
  • Enter timesheets for jobs
  • Use PowerApps for Dynamics 365

The Team Members license gives users unrestricted access to the Dynamics 365BC functionality. Dynamics 365BC users can use PowerApps to access Dynamics 365 within the bounds of their roles and permits.

Clients who wish to grant access to external accountants may acquire one per-tenant license at no additional cost. External Accountant Licenses grant the same user rights as Dynamics 365BC licenses except for access to user setup, admin tasks, and other Dynamics 365BC apps.
