Creating Custom User Experiences in Business Central

Dynamics 365 Business Central gives administrators and users advanced, modern customization capabilities in the user experience. Customizations change the way users interact with the system and provide access to additional features that improve the way users do their day to day work. While some aspects of the user experience can be managed on the administrator level, Business Central gives end users the ability to personalize their workspace to suit their individual workstyle. In this blog we’ll cover the various ways administrators and users can make Business Central truly customized to improve efficiency and user buy-in.

Custom User Experiences

Administrators have ultimate control of the user experience in Business Central. This starts with defining what functionality users have access to. There are currently two experiences available in Business Central, Essential and Premium. The Essential Experience shows all actions and fields for all common business functionality. The Premium Experience includes all functionality in the Essential Experience in addition to Manufacturing and Service Management features.

Note: The experience that an administrator selects is set at the company level. Once an experience is selected, all users in that company will have that experience. The experience administrators select depends on their Business Central solution license. The Premium Experience comes at a higher cost than the Essential Experience.

Once the experience is set, administrators can assign user permission sets. These permission sets control which pages and features users can access within the experience. Personalization

Workspace personalization at the user level is possibly the most exciting design element of Business Central. Personalization capabilities provide users with the opportunity to create a unique workspace suited to their role. The best part? Business Central makes it easy with drag-and-drop functionality and user-friendly editing features that don’t require coding experience.

Note: Administrators have the ability to disable personalization of pages and clear any personalized pages already created.

To personalize a page in Business Central, users select the settings icon in the top right corner of the Business Central window. Doing so opens a personalizing banner that indicates changes can now be made.

What can users personalize?

Move: Move fields, column in list, tiles, actions, or parts.

Hide: Hide fields, columns in list, tiles, or parts.

Add: Add fields or columns.

  • Each page has a set number of fields that can be displayed. Use the add function to show fields or columns that are currently not displayed from this list.

Display on “Show more”: Make a field only display when “Show more” is selected.

Change the freeze pane: Update the freeze pane in a list to another column.

  • The freeze pain shows columns on the left side of the page even if page is scrolled horizontally.

Update column width: Drag the boundary between columns.

  • Width can be set to auto-fit by double-clicking the boundary between column headers.

Skip over a field when Enter key is pressed: Select Exclude from Quick Entry option.

  • This personalization is helpful for users looking to accelerate data entry.

Personalize the action bar

At the top of each page in Business Central, actions are displayed related to functions of the page in what is called the action bar. The action bar gives users an easy way to jump to specific page functions or processes without needing to scroll or perform numerous clicks. The action bar also supports action groups which expands the menu to view related actions. The action bar can be edited to include different actions and action groups that meet the needs of a specific user role. Learn more about the action bar and functionality it supports here.

Note: Actions that can be added to a page’s action bar are limited to actions available for each page type. Actions listed in action groups can be moved to different action groups, but cannot be added to the action bar.

How can users personalize a page’s action bar? Business Central allows users to remove actions and action groups.

Remove: Delete the actions from their action group.

  • The action remains in other locations.

Move: Drag and drop actions in action groups to desired action group on the action bar.

Removing personalizations

With any editing functions, it is necessary to provide a way to roll them back. Business Central gives users the tools to roll back some or all personalizations made to a page via the personalizing banner.

Options:

Only Actions: Remove all personalizations made to the page’s action bar.

All Except Actions: Remove all personalizations made to the page except for the action bar.

All: Remove all personalizations including the page and action bar.
