Choosing an ERP Solution for State and Local Government: Follow These 3 Steps

It Doesn’t Have to be a “Scary Movie”: Choose an ERP Solution for State and Local Government Using These 3 Steps

While attending this year’s Government Finance Officers Association (GFOA) annual conference, we discovered that many of the organizations in attendance are actively in search of a new ERP solution—and they needed help. As a matter of fact, a conference session entitled “Scary Movie: Your Next ERP Project” was practically impossible to get into.

It’s hard to tell whether it was the catchy session title or the idea of the session itself that drew such an interest, but clearly it resonated with many attending conference. After all, choosing an ERP system can be daunting. But, with the right ERP solution, you’ll have nothing to fear. If you’re looking for an ERP solution for state and local government applications, just follow these 3 steps.

  1. Specify Your Goals

Setting goals is an essential first step for just about any project, but it’s especially important when it comes to choosing the right ERP solution. When it comes to state or local government, your goals might include:

  • Improving the experience of those your serve
  • Making data more easily accessible to internal users in order to provide a better way to analyze and report/present data to constituents and entities who offer support
  • Improving internal processes with new technology, including mobile access

The best ERP solution will accomplish these goals while simultaneously improving efficiency and saving money. It’s imperative to prioritize and establish clear goals so you have a benchmark for comparing ERP systems.

  1. Choose a Flexible and Adaptable ERP Solution

Here at AKA Enterprise Solutions, we’ve seen our share of RFPs. With more than 20 years of experience working with state and local governments, we believe the best approach to comparing potential ERP solutions involves taking a holistic view rather than attempting to line up features and functionality side by side.

The reality is that, while most ERP systems will be able to handle the vast majority of tasks, there’s no such thing as a perfect system -- particularly when it comes to needs that are unique to your organization. The problem with most ERP solutions is a lack of flexibility and adaptability. It’s impossible to know for certain what your future needs will be, so it’s very important for your ERP system to offer flexibility and adaptability.

In the case of state and local government, various externalities like economics and legislation mean that you’ll need to update various processes on an ongoing basis. This often involves customizing your ERP solution over time, and choosing an ERP that’s difficult to customize can make things challenging.

With all of this in mind, we strongly suggest choosing an ERP solution that’s adaptable and flexible. Ask your organization these questions when looking for an ERP:

  • Can the ERP meet your needs today?
  • Is the ERP solution capable of handling regulatory and compliance requirements? Can it adapt to new requirements in the future?
  • Will the ERP integrate smoothly with other systems such as Microsoft Office?
  • Does the ERP solution have built-in AI and machine learning capabilities? If you’re not already using this technology, you will be soon.
  • Is the solution based around a reliable cloud platform? The cloud is quickly becoming the norm for organizations of all sizes.

There are other things to consider, too -- but the emphasis here is on flexibility. Choose an ERP that can grow and change with your organization.

  1. Pick the ERP that Fits

Once you’ve completed the first two steps, it’s time to compare and contrast potential ERP solutions. Decide which systems can meet both your current and future goals, and eliminate the ones that can’t. Assess these potential solutions in terms of your organization’s unique needs.
