Document Attach in Dynamics GP 2013

Occasionally we need to attach documents or other files to entities in the ERP system.  These documents can range from Terms & Conditions Agreements for vendor/customer relationships to pictures of items in our inventory.  Microsoft Dynamics GP has allowed document attachments all the way back to “Microsoft Great Plains 7.0.”

The problem with the previous versions of GP is that attaching documents to entities in the system was accomplished with OLE container technology.  This technology worked and did what was needed, but required additional setup (creating and defining an OLE folder to store the documents) and the interface was not user friendly.  This caused users to get frustrated by the feature and they often looked for other solutions to attaching documents.

With Microsoft Dynamics GP 2013 we have new feature to attach documents.  The new feature is called, simply enough, “Document Attach.”  We still have OLE containers available, but Document Attach is much more user friendly. 

First, Document Attach stores the documents in the SQL database.  No more creating a new folder, setting up shares, and assigning security.  After setting up Document Attach, users can click on a small paper clip icon on the window in question to attach a document.  The document is then stored in the SQL database, so it will already be included in the SQL backups (you do not have to set up a separate backup routine for a shared folder).

Second, Document Attach supports both 32 and 64 bit architecture.  OLE containers can only handle 32 bit architecture. 

Third, Document Attach works with the new Dynamics GP 2013 Web Client.  This mean that even remote users have access to add documents within the Dynamics GP ERP system.

  1. Those are great questions Jim. The answer to both questions is yes with a slight qualification. The Document Attach feature you are asking about within GP 2013 was limited in its application. It was only available on certain windows and modules and in GP 2013, the GP Field Service Module did not have access to this feature. I know, I know, you are saying…but you said the answer was yes yet your explanation tells me otherwise. The reason I said yes to your questions is that GP2013 R2 allows both. GP2013 R2 opens up Document Attach to practically every area that you were able to attach and OLE in the previous versions. GP2013 R2 also has a utility called OLE Object Migration Utility that allows a one-time extraction of existing OLE attachments and imports them into Doc Attach. One other cool feature to GP 2013 R2 and Doc Attach is that R2 has the ability to allow you to scan a document directly to Doc Attach from a scanner bypassing the save to a folder from your scanner process. I hope this answers your questions. It sounds like GP 2013 R2 would satisfy your requests and open up even greater efficiency options.
