/> Microsoft Dynamics GP 11 is releasing next year and with it comes advancements in many of the underlying technologies. Microsoft Dynamics GP is establishing itself as the most integrated ERP in the Microsoft offering. Dynamics GP 11 will offer new integrations to Microsoft SharePoint and Windows Workflow Foundation. In addition, there will be more integration to Dynamics CRM. Dynamics GP 11 will offer a new way of generating formatted reports using Word templates. Finally, and perhaps the most exciting, is the introduction of a new financial reporting package, Management Reporter.

Dynamics GP has been integrating with SharePoint for quite some time through a product called Business Portal. This web based solution offers additional value from Dynamics GP by extending it to non accounting members of an organization. Users can see thing such as vendor and customer cards and balances. Business Portal for GP 11 will be based on SharePoint 2010. It will add metrics and measures in the form of SQL Reporting Services reports. These reports will be interactive and allow users to drill through accounting metrics to see detail. Users will be able to leverage the new functionality of SharePoint 2010, including dash boarding and document management.

Dynamics GP 11 is extending their already robust workflow integration. They are adding several new workflows including customer and vendor approvals and employee setup workflows. The workflows will run on SharePoint Services and be available to anyone running Windows SharePoint Services.

Dynamics GP 11 will be integrated directly with Microsoft Dynamics CRM using an included Microsoft integration tool. This means that organizations will no longer have to pay for an integration package to synchronize customer information across databases.

Microsoft Dynamics GP 11 includes a new way of generating statements and reports. Users will now have the option to design templates in Microsoft Word that can be formatted with a company’s branding. This allows for rapid creation of reports and quick deployment of the ERP system. When a user prints a document such as an invoice, the associated word template will be merged with the dataset and the user will have the option to either print or email the document directly through Outlook.

Management Reporter builds upon the success of Microsoft FRx as a reporting tool while overhauling the interface to be more consistent with other Microsoft products. Users will continue to build their reports in a report writer and manage them through Management Reporter. Management Reporter will work across the Dynamics General Ledger systems for all of the Microsoft ERP products which will allow Microsoft to more rapidly evolve their financial reporting products. Version 3 of Management reporter, which is due with GP12, will include some extended budgeting capabilities.

Dynamics GP 11 is a feature rich release that has hooks into all of the latest Microsoft technologies. Microsoft continues to invest huge amounts of R&D in developing Microsoft Dynamics GP into the industry leader in terms of technology. /> Recently InterDyn – Artis held a workshop at the Microsoft campus in Charlotte that focused on Tips and Tricks for Microsoft Dynamics GP. The first workshop had such overwhelming response that we had to hold an additional one to accommodate the overflow. We covered 50 various tips and tricks, which only began to touch the tip of the iceberg. I must add that this is the one session I have given that I did not see heads bobbing and eyes closed.

So often times I find that when doing an implementation, that even though these items are covered, the client is so focused on getting to the meat of (and retaining it) what they have to do on a daily basis for performing their job, that these items that are considered to be “nice to haves” often get glazed over. I usually get the question several months down the road after go live, “Can the system do this….” Or “It would be nice if…..”. This is usually followed by my response of “It can. Don’t you remember that we covered that during training?” They usually respond with a no. This is when the Tips and Tricks become so sought out after. InterDyn – Artis has found that this is one of the most requested sessions that our clients ask for.

We covered items such as Navigation Lists (everyone has these, most do not know they even exist), using Export Solutions to create macros that run in Excel when you export a Smartlist to Excel (really helpful when using pivot tables in conjunction with the data you have exported), copying general ledger journal entries, copying purchase orders, setting user preferences and cleaning up Auto Completes, creating Smarltist favorites and setting them as Reminders, doing Backups from within the database you are logged into, the purpose of Account Aliases, using Account Security, etc., As you see the list can go on and on.

Due to the changing of the licensing with Microsoft Dynamics GP going to the Business Ready License (BRL) model, we have also seen many instances where the client does not realize they own a certain module(s) and it goes unimplemented. It is usually brought to our attention when the client calls and asks if there is a module that would do such and such and we look at what they are registered for to find that they already own the product, they just haven’t implemented it. So be aware of the products you are registered for and own. You may even find that you have some products you didn’t know you had, but you become interested in utilizing them.

Needless to say the class was a huge success in conjunction with the attendance numbers. Upon reviewing (yes, we do read your comments) the evaluations these are some of the comments that we received:

“Great value for us. I should have had other employees here.” – Nucor Building systems
“Always enjoy your classes. Lise’ is a great presenter” – Drake Dental
“This was very helpful! I discovered many features that have not been used by my company.” – McNeary, Inc.

Now may be the perfect time with business being a bit slower than usual due to the economy, for you to evaluate and see if you feel like you are getting the most optimization out of your Microsoft Dynamics GP ERP system. Many of these tips and tricks can help speed up your daily processes, so that when you start seeing the uphill climb with the economy, you will be prepared to work smarter and not harder. This could possibly put you ahead of your competition if you can see where your weaknesses lie. If you are a Microsoft Dynamics GP users Microsoft Dynamics GP can help make your audit easier and get you and your employees back to work faster. How? With some great built in and compatible tools.

Financial Statement Level

Microsoft FRx, the financial reporting package that comes with Dynamics GP, includes the option to export all of your reports to excel. Even different levels of reports based on reporting units, such as departments can be exported to one file with the different levels going to different tabs within the same excel worksheet with the push of just one button. From here you can save the files and send them on to the auditors.

Transactional Level

Whether it is a Trial Balance or Aging report, if you don’t want to give your auditors access to your accounting system, you can use Microsoft SQL Server Reporting Services (SSRS) reports. These are web-based reports that pull directly from Dynamics GP. There are 73 standard reports with the flexibility to create custom reports based on any criteria needed. Any of these can also be exported to excel. Furthermore, you could grant the auditors direct access to the report website where they could run their own reports with specified parameters rather than being in GP directly or having your employees run them.

Document Level

In addition to the standard functionality listed above, there are different document imaging solutions that integrate directly into GP. If your auditor requests a specific document, instead of trying to locate the physical paper in a sea of file cabinet drawers and folders, you would have the capability to supply these electronically within a much shorter period of time. With these solutions, you are able to search for and open the document within Dynamics GP and from there, view the document image and send it to the auditors. As well as reducing the time taken by your employee to search for the document, it eliminates the time taken to re-file that stack of requested documents.

To find out more information on any of the above tips on making your audit easier or learning more about Microsoft Dynamics GP, please visit our website at By David Puckett, Implementation Consultant, InterDyn – Artis

In today’s tough economy, effectively managing the many aspects of risk to your company has never been more important. Each and every day, CEOs, CFOs and line managers are faced with ever increasing and costly risks that can suddenly and completely wipe out years of work and dedication.

There are many approaches and tools for managing risk. Microsoft Dynamics GP can be one of the most effective tools for gathering and accessing the data you need to efficiently manage and mitigate your risk factors.

Types of Risk:

Risk is generally categorized into five main groups:

Business risks or those associated with an organization’s particular market or industry.

Market risks or those associated with changes in market conditions (i.e. prices, interest rates or currency rates)

Credit risks or those associated with the potential for not receiving payments owed by creditors.

Operational risks or those associated with internal system failures because of mechanical problems (e.g., machines malfunctioning) or human errors (e.g., poor allocation of resources).

Legal risks or those associated with the possibility of other parties not meeting their contractual obligations.

In addition, Environmental risks constitute a significant and growing area of risk management. Reports indicate the number and intensity of natural disasters are increasing. For example, the periodical Risk Management reported that there were about five times as many natural disasters in the 1990s as in the 1960s.

(Heil, Karl, “Risk Management: The Evolution of Risk Management”, www.ReferenceforBusiness.com.)

As an accounting and financial software package, Microsoft Dynamics GP can be a valuable tool in the assessment and management of certain business, market and credit risks as relating to your industry or market. Additional functionality such as Distribution can reduce risks due to capital tied up in resources such as inventory, raw materials and unsold goods by facilitating the efficient tracking of critical stock levels against forecasted sales.

Through the use of the many data reporting tools available to Microsoft Dynamics GP users, such as FRx, Report Writer, SQL Reporting Services, along with database-accessible tools such as Crystal Reports, risk managers can assess the necessary information they need in the form of analysis data, ratio analysis and credit information. This information can be presented in the form of reports, graphical representations, dashboards and spreadsheets.

Some of the more common financial risk ratios that can be generated with Microsoft Dynamics GP include:

Liquidity ratios – Current ratio, Quick ratio, Cash ratio, Cash Conversion Cycle

Profitability ratios – Profit Margin, Return on Assets, Return on Equity, Return on Capital Employed

Debt – Debt ratio, Debt to Equity ratio, Cash Flow to Debt ratio

Cash Flow- Operating Cash Flow/Sales ratio, Cash Flow Coverage, Free Cash Flow

Operations – Fixed Asset Turnover, Sales/Revenue per Employee, Operating Cycle

Secondarily, optional modules like Human Resources can help assess and mitigate some Operational risks from employees such as Drug Testing results and test tracking, tracking company-issued property, tracking required safety testing and certifications, and I-9 immigration document tracking, to name a few.

Additionally, Currency risk can be managed for those engaged in international markets through the use of Microsoft Dynamics GP Multicurrency functionality by tracking exchange rate fluctuations and its impact on revenues and profits in foreign markets.

To learn more about the power of Microsoft Dynamics GP and how it can help in your efforts to assess and monitor your risks, contact your <a
