They are particular about what they purchase and are experts in the products they need. Collectors can also become very loyal to companies who have their best interests in mind. One of our clients has experience in this market, selling new tractor parts for antique tractors.

They strive to keep their customers happy with their staff of 20 customer service representatives and were able to service their customers well and grow their business using Microsoft Dynamics® GP which they purchased in 1998.

As their client base and order volumes grew, our client desired a customer service dashboard. They desired more visibility into inventory and a more comprehensive view of their customers’ order history or credit limit within that one screen. All this information is already accessible in GP, but customer service representatives needed to be pretty adept in drilling around the application to get to the desired information which took time. Because they couldn’t easily view inventory levels, the customer service reps also had to call their customers back if they needed more information or had an issue with ordering the parts. Needless to say, time was spent checking on inventory, communicating back and forth with customers, and verifying credit limits to ensure the order would go through smoothly. This delayed orders for their customers and limited cash flow for the company because the orders weren’t processed through in a timely fashion.

As a Certified Microsoft Dynamics Partner with dual Gold competencies in ERP and CRM based out of Michigan, the TM Group works with a number of add-on solution providers, one of which helped this client with their business pains. SalesPad Solutions, LLC was able to provide a solution that integrates with our client’s Microsoft Dynamics GP solution. This solution showed customer information, order history, inventory levels, and order capabilities all within one screen. Customer service representatives can now easily see everything they need from start to finish and complete the order with confidence that all pieces to the puzzle are complete. This sped up the order process for our client and allowed for better customer service across the board. Their customers take the time to research the products they need and depend on this distributor to see the order through to completion. Now, our client can deliver optimal customer service with the insight they hold about their customers and orders.

SalesPad’s solution, ShipTo, took it even one step further, streamlining the shipping process so customer service reps can now easily give status updates to their customers on when their order will arrive and how much the shipping will cost them. The solution integrates sales documents for shipping with UPS and FedEx. Everyone can now see tracking numbers immediately after shipping. SalesPad developers also created a customized function that calculates shipping costs during quote entry, allowing our client to provide a freight quote up front rather than after an order is placed. Our client has complex shipping needs and they wanted the ability to authorize credit cards for the full amount, including shipping changes, knowing full well, their customers don’t like to be surprised with additional charges.

If you experience the same distribution industry pains as our client did, don’t hesitate to contact us for more information. We are dedicated to providing unique solutions to our clients to fit specific industry needs.

Also, we’ll be spotlighting SalesPad as one of our key add-on solutions for Microsoft Dynamics GP at our upcoming Microsoft Dynamics Conference called Vision 2011. Vision 2011 takes place on October 11, 2011 at the Michigan State University (MSU) Management Education Center in Troy, Michigan. It is open to organizations considering new ERP or CRM solutions and provides an excellent in-depth view of Microsoft Dynamics. No cost to attend, but reservations are required. The article reveals the reasons these manufacturers and distributors cho0se Microsoft Dynamics GP for their businesses.

His article was a bit long, so I’ve taken the liberty of doing some editing and paraphrasing.

The goal for any manufacturing operation – whether it is a discrete or a process manufacturing business – is to produce quality products at the lowest possible cost while striving to exceed customer expectations. Achieving this consistently and cost-effectively depends on gaining deep insight into the supply chain, especially when it comes to managing the complexities of formulating and producing products to custom specifications.

Maintaining market share in today’s ever more competitive landscape requires that manufacturers process orders faster – increasing execution and delivery reliability rates – while giving customers better information on order status and simultaneously managing compliance with legal and regulatory requirements. All of this requires tremendous agility and a truly dynamic operating environment that’s capable of assimilating real-time information flows across supply-chain touch points with ease.

When it comes to joining the supply-chain management “dots,” manufacturers face serious technical challenges in terms of process and data flows – especially when it comes to integrating the “spaghetti soup” of systems controlling individual customer, supplier, and production functions.

To resolve this integration challenge, manufacturers are taking a fresh look at enterprise resource planning (ERP) systems.

The first commercial ERP software packages exploded onto the market in the 1990s. In today’s world, given the rapid growth and development of technology solutions, 1990 software is as outdated as carbon paper! ERP has changed and today’s out-of-the-box, supply-chain-management-specific ERP solutions, such as Microsoft Dynamics GP, have evolved, becoming impressively scalable end-to-end offerings that effectively streamline and automate business processes across the supply chain.

Alongside delivering data unity within the enterprise, today’s ERP solutions use customizable Web services to make it simple and quick to connect with suppliers, logistics providers, and customers and to enable seamless real-time data exchange and process sharing.

Easy to deploy, these systems feature user-friendly, intuitive tools that can be accessed across the manufacturing operation – from the shop floor to the top floor – making end-to-end, streamlined supply-chain management a reality.

It’s this unique ability to integrate external business processes and support application-to-application connectivity across multiple systems in a cost-effective manner that now makes it possible for manufacturers to respond quickly to changing customer and supplier demands.

Supply-chain optimization is now possible. Powerful inventory management tools help to improve forecasting and planning, so supply and inventory levels can be fine-tuned to customer demand. Real-time data gives users faster access to the tasks and critical business intelligence information needed to optimize the supply chain. Finally, ERP makes it easy to simplify government and corporate compliance commitments by defining custom business rules and workflows based on risk scenarios.

Today’s ERP solutions provide the vital backbone on which effective, cost-efficient, and dynamic supply-chain collaboration can take place. Besides unleashing demand-driven production, organizations of any size in any sector can respond faster to change, incorporate new customers and suppliers with ease, and adapt their operations on the fly as business needs change.

By Karen Jernstrom, <a

This successful distribution company chose a hosted “cloud” Microsoft Dynamics GP core financial/ERP system with Vsync for EDI and SalesPad for the sales and customer service users.

SalesPad has proved to be a key to the success of their new system. Amax uses SalesPad to access Dynamics GP data to give increased functionality to sales and customer service users – such as single screen visibility to orders, inventory and customer status. The Amax executive team made these comments on the top benefits of using SalesPad with Dynamics GP:

1) Access Information: “With SalesPad the sheer amount of information you can show on one screen is so helpful. When you are on the phone with a customer you can answer questions quickly without switching screens or calling other departments. For customer service it is very easy to enter orders, move info around, and find customer info.”

2) Monitor Inventory: “It is very easy to search for items, see what we have on hand, what is coming in, what is on order and where inventory is allocated. Backorders and other issues are easy to solve. Everyone can see new purchase orders and when shipments are due in their warehouse.”

3) Analyze Realtime Data: “With very little customization we have detailed reports we never had before, and in realtime. We can quickly look up sales data, inventory and business metrics to see how new products are performing and follow trends to make better business decisions. We trust the system and the data that is in there. It’s a stark contrast to when we were a division of Stanley Black and Decker, where we commonly had to access four systems to get a complete picture of what was going on.”

4) Calculate True Costs: “Using GP and SalesPad we can control erosion of our margins because we know our true inventory cost. By making this visible to the whole organization we can make precise pricing decisions with a customer because we know we are working with accurate data. This is something other distribution companies struggle with.”

5) Process More Orders: “Sales Pad allows the order processors to process multiple orders quickly. Now they are able to monitor and process EDI orders while taking fax orders and phone orders all at the same time.”

6) Communicate Across Departments: “Information is no longer locked within separate departments. For example, our AR clerk using the collections module can write notes in the system and the sales team can see if the customer account is on hold, slow pay history, what the customer bought and when.”

7) Inspire Customers: “Our sales team can quickly prep for meetings without wasting time. They can show a customer, ‘this is where your business was an hour ago’. We have real-time analysis to support our sales propositions, whether it is a new promotion, product mix suggestions, or our position in pricing negotiations. Often we can get our customers better data about their business than they can. They have confidence that we are on top of what is happening in the marketplace and in their business and this makes us a better partner. That is pretty impressive and a lot of our competitors simply don’t have access to that type of data.”

Read more about the Amax story:

CAL Case Study: recent post here on the ERP Software Blog I talked about the iconic red “easy” button that has become synonymous with Staples. And for some reason, when pondering what I’d like to write next about Microsoft Dynamics GP, what came to mind was the Burlington Coat Factory tag line: “More than Just Coats. “

It’s been 10 years since Microsoft purchased Great Plains, a popular and widely used software application that was mostly known for its robust core accounting functionality, fondly called GLAPAR. That’s pronounced “glapper” as in a 1920s “flapper.” GLAPAR, for the uninitiated, stands for General Ledger (GL), Accounts Payable (AP), and Accounts Receivable (AR). In the 10 years since the Microsoft acquisition, not only has the product been renamed (now Microsoft Dynamics GP), it has also benefited from Microsoft’s deep pockets, i.e. a major infusion of cash for R&D and functional enhancements.

The result is that Microsoft Dynamics GP is a leading edge, full service Enterprise Resource Planning (ERP) solution with soup to nuts functionality. So when I say that Microsoft Dynamics GP is “More than Just Accounting,” I’m not even doing justice to GP, because GP is now financial management, Supply Chain Management (SCM), Materials Requirements Planning (MRP), Forecasting and Budgeting, Inventory Control, Warehouse Management, Manufacturing Bill of Materials (BOM), Master Production Scheduling, Returns Management, Project Accounting, and more, and more, and more yet.

So since a picture is worth a thousand words and I have no desire for this blog post to run into the thousands of words, here’s a picture that says: “Microsoft Dynamics GP is not your grandfather’s Great Plains anymore.”

for more than 2 decades, and as such we have all sorts of customers. If you ask me what is the best customer fit for Dynamics GP, however, I would tell you without hesitation that it is small-to-midsize distribution companies.

Not only is Dynamics a full-featured product for distribution companies, in addition to that, there are plenty of third-party add-ons that complement specialized areas of distribution businesses, such as warehouse management and mobile sales. A distribution company is the one that stands to gain the most when paired with a good business partner that knows how to help the customer improve the different business processes using Dynamics GP.

Take the case of El Catador, one of the most successful companies in Dominican Republic over the last decade. Today it is the undisputed wine distribution company in the Dominican Republic. Only a decade ago, however, they faced great growth potential but did not have a suitable information platform to support it. Sound familiar? Probably yes, because this is a typical scenario: Companies with lots of potential that are lead by a new generation of entrepreneurs looking for the best tools to maximize said potential, particularly in trying economic times. Today you need to be more efficient, leaner, and make the most of your systems to automate and improve processes.

The evolution of El Catador started out with implementing their first Small Business Server infrastructure, which is perfect for small companies revamping their systems. During the first few years after that, the company concentrated in creating and consolidating all of its key operational processes: supply chain, inventory controls, shipping processes, billing, collections, and of course, creating a solid financial information platform. In each of these areas, Dynamics GP excels with rich functionality such as multiple sites management and landed costing. The ease of use of the Dynamics GP system was key in early user adoption and in creating a data analysis culture that did not exist before.

A few years later, Dynamics GP has offered the company the capacity to grow, automating and improving all of their warehousing processes, real-time hand-held remote sales operations, and the operation of their on-premise retail store, La Viña de El Catador. And as the business expansion and improvement ideas keep coming, Dynamics GP keeps responding to this customer’s needs, 10 years on. That is the true value of Dynamics GP when implemented within an environment where partner and customer work together to make the best of the platform.

The base functionality of Dynamics GP in distribution and the tremendous flexibility provided by the wealth of third-party products available, make this product ideal for distribution companies. Ease of use and low total cost of ownership makes it possible for small and midsize companies to benefit from this system to help them grow and succeed, as has been the case for El Catador.

By ICON, <a

But making an imprint on their niche market of health foods was harder than they expected.

They were using MAS90 for their production and financial solution and struggling to meet the demands of their niche market. Since they provide their bakery product to grocers around the U.S., they also needed insight into promotions and coupons for their product.

Their MAS90 solution had no functionality for food manufacturing and production tracking, so they were unable to show consumption of raw material usage and had no insight into their inventory. Being a food manufacturer and distributor, they needed a good handle on dates and inventory to comply with FDA regulations and provide the freshest product possible to their consumers, in order to ensure buyer loyalty and growth of their health food production.

They also did not have integrated electronic data interchange (EDI). Someone on their staff would have to pull in EDI orders, log in to a spreadsheet, and then finally key into the system. This duplicate and manual data entry allowed for inaccurate and untimely data that they just couldn’t rely on.

Frustrated with these manual transactions, limitations in promotional insight, and production inflexibility, our client started looking for a food manufacturing solution with a recipe-based Bill of Materials that could alleviate the pains they were experiencing. We here at the TM Group are a Certified Microsoft Dynamics Partner with dual Gold competencies in ERP and CRM in Michigan. We recommended Microsoft Dynamics GP to our client. Here are some of the benefits they are now seeing:

1. Inventory Management: Microsoft Dynamics GP and Horizons Manufacturing work together to give our client full insight into costing and tracking of their inventory. They have a complete handle on dates to ensure fresh product gets delivered.

2. EDI Integration: Microsoft Dynamics GP is able to integrate with EDI, giving real time tracking of raw materials and EDI information. This saves our client time, reduces workload, and ensures the right materials get to the right place on time.

3. Promotion Management: With the flexibility of Microsoft Dynamics GP, our client is able to implement a custom third party application that allows them to track promotions with their customers so they can view and manage total cost of promotions. Since they sell to places such as Wal-Mart and Kroger’s, they have many promotions going on at the same time. Coupons get charged back to them and they didn’t have a good handle on the total cost of what their promotions cost them as well as what it brought in. Now they have full insight into this information, allowing for more promotions that are driving greater interest in their product.

4. Advanced Commissions Management: Our client pays commission to their field representatives and they did not have a system in place that could accurately and easily track this. Now they are at ease since Microsoft Dynamics GP automatically calculates commissions. Our client is better able to manage their employees, their stock in remote warehouses, and accounts payable without it being a manual process of cross checking multiple reports.

5. Unique Reporting Needs- Our client recently went into partnership with a holding company that manages other health food companies. Microsoft Dynamics GP is able to produce the reporting that the holding company requires. Because Microsoft Dynamics GP is so flexible, their holding company can standardize payroll and pull the unique reports required to stay on track.

Whether you’re in a niche market, or just trying to streamline your production and promotional needs, Microsoft Dynamics GP may be able to help. We partner with multiple solution providers like Horizons recipe-based manufacturing to ensure your unique needs are met. Visit our website for more information or contact us here at The TM Group.

By The TM Group, Microsoft Dynamics GP can help you avoid backorders in the first place and – when an item sells out more quickly than planned – you can manage the process more efficiently.

Manage inventory with better insight

What if you could take some of the guesswork out purchasing? Your purchasing agents probably depend on their experience and instincts in placing orders more than you’d like to admit.

With Microsoft Dynamics GP, the purchase order generator will automatically create suggested purchase orders for the replenishment of items versus manually having to create PO’s. Single or multi-site warehouse operations are supported with each item-site combination planned separately, or you can map several sites to a “master site,” so that one purchase order is created to replenish an item for several sites.

Keep purchasing agents focused on making buying decisions that can improve sales instead of routine replenishment. By configuring Microsoft Dynamics GP to automatically analyze and suggest purchase decision, you take the guesswork out and allow buyers to focus on special orders and find new products to serve your customers.

Don’t let backorders fall through the cracks

Backorders can bog down your team when line item stock outages require manual intervention. With Microsoft Dynamics GP, a PO is generated right off the sales order for backordered goods. When the goods are received a report will print to let the receiving department know that the item is attached to a specific customer order.

To find out how you can improve the workflow in your warehouse, contact Gary at Microsoft Dynamics GP Advanced Distribution tracking the status of inventory items as they flow from order to invoice is easy. Fulfillment orders provide the structure to track Orders, Quotes, or Backorders that give greater insight into the warehouse status of line items of an order.

Workflow that ensures no order is left behind

Workflows support fulfillment orders through the entire pick, pack, and ship process including confirmations to double check throughout the process. Controls include the typical sales processes, such as printing the pick ticket, picking the goods, printing the packing slip, packing, shipping the goods, and invoicing the customer. You can set up up to 6 workflows.

Processes that fit your organization

Set up workflow to meet your unique sales process and fulfillment needs. The six status steps can be named using your industry or organization naming conventions and unnecessary steps can be skipped. You can also:

Roll document status backwards to the prior tracked status for a single document or a group of documents.

Define a new sales process hold that stops sales workflow advancement.

Allow adjustments to multiple orders, automatically allocating stock to backorder line items when stock is available to allocate.

By automating the fulfillment and invoicing processes you reduce data entry as quotes, back orders, and orders move through the pick, pack, and ship process. Microsoft Dynamics GP Advanced Distribution automates those processes to save you time and ensure customer satisfaction by reducing errors.

To find out how you can improve the workflow in your warehouse, contact Gary at Altico Advisors

Choosing the right business management system is critical for your company’s success. Therefore you want a system that is fit for purpose, affordable, easy to use, and quick to adopt, and one that will add instant value to your business in terms of efficiency and productivity gains. Moreover, it must be sufficiently robust and flexible to grow with your business and be implemented with minimal business interruptions.

An increasing number of organizations are moving to Dynamics GP because it excels at meeting the primary needs of businesses today, such as turning data into insight, making smarter decisions, and increasing efficiency – all critical components for success.

Here are some great reasons for choosing Microsoft Dynamics GP NOW!:

*Extensive pre-packaged functionality competitively priced on a user basis – spanning financial management, supply chain (distribution), business intelligence and reporting, project management, human resource management and manufacturing.

*Comfortable and easy to use – works like and with the Microsoft Office applications you’re already familiar with (Word, Excel, Outlook, etc.)

*Tailored to your business – built-in and cost-effective add-on customization options.

*More connected – cost-effective portal and built-in workflows to promote team completion of tasks, CRM integration to connect finance and customer-facing departments, 350+ Web Services and simple architecture to integrate with other applications and data sources.

*Quick return on investment – rapid implementation and data migration tools to move you from existing legacy systems quickly, effectively and with less grief and cost.

*Secure future – 10-year support life cycle.

*Work faster and smarter – role-based dashboards, KPIs (gauges, charts, and graphs) and business alerts relevant to people’s roles, keeping them informed and on task.

*Scale and perform – using SQL Server technology, scale easily from 1 to 1,000 users without compromising system performance; ability to manage high-speed, high-volume transactions.

*Innovate and evolve – backed by Microsoft’s commitment to continually improve and extend the software with new releases every 2-3 years.

Microsoft Dynamics GP is not a “one size fits all” solution, even though companies in dozens of different industries use Dynamics GP to their advantage. This is because there are fully integrated modules within GP for industry-specific requirements. Here at Altico Advisors our clients include wholesalers and distributors, discrete and process manufacturers, software developers, nonprofits, educational institutions, moving and storage companies, financial firms, food services, bus and train lines, waste and recycling enterprises…to name but a few!

And we’re proud to serve them all.

Submitted by Altico Advisors, <a
