Most organizations maintain data across several different systems, including a financial system, a CRM system, possibly a quoting tool, or even spreadsheets and databases. When it’s time to look up something as simple as the new mailing address for a customer, we end up looking for it in each place to make sure we have the right one. On the other hand, when information needs to be updated, we tend to only update one system instead of all. Sound familiar?

Think about how much time it would save if you had one system that was accurate and up to date all the time. It would interface with your other systems and update them with the latest information, making sure all systems stay accurate and dependable. This has several benefits – you always know where to look, and you only need to update one system instead of many to make changes across all of them. Plus, it prevents incorrect information from being used by mistake. While it still makes business sense to have multiple systems, life is much easier when you establish one system to rule all others.

How do you transition from multiple systems to a single system? As mentioned in our previous post, the first step before making any software decisions is to know your company goals and strategies. Technology should always align with your business, not the other way around.

In order to achieve the benefits of having a single system of record, consider the following steps:
1. Identify your financial data. Facilitate a meeting with all stakeholders to identify where your data currently lives. In most organizations, it makes sense for the ERP solution to be the system of record because it needs to interface across several different areas of the organization. This includes solutions like Dynamics NAV, GP and AX.
2. Identify your customer data. If you are already using a CRM solution, make sure it meets your specific business and industry needs and is still supported by your partner or vendor. If not, it may be time to start looking at newer systems.
3. Focus on change management. Providing proper training and leadership will help your team transition seamlessly to the improved, more efficient way of working in the new system.

Obviously, there are many decisions to make on the road to improved data integrity, but let us worry about the complexities. At OmniVue, we believe that technology decisions are secondary, and we won’t make recommendations to you without first having a clear understanding of your business strategy and goals. Keep imagining what it would be like if you had one system to rule all the others. We’ll be here to help when you are ready.

By membership management systems automates error prone and tedious manual process like payables and vendor management. iMIS is a common MMS (Membership Management Solution) that associations use to manage events, the website, chapters, and other functions. Many organizations take advantage of the easy integration between iMIS and Dynamics GP.

Project and document management through SharePoint and Dynamics GP can streamline support events, education, and chapter relationships. Manage all the presentations and schedules for an event on a team site in SharePoint and display budget tracking from GP. Time and expense can be entered through the SharePoint site to feed back to GP to keep budget and actual results up to date.

Many Associations use homegrown or legacy systems that serve a specific function critical to the organization. That system may manage chapters or subscriptions or certifications and be too costly to consider changing. With the flexibility of Microsoft SQL, the data from that system can be integrated with Dynamics GP to industry-type related, the software will help the employees and managers follow the process for the business. However, some companies have realized that their accounting is not in compliance with the necessary regulations and that is because regardless of how good the software can manage the business processes, is not well designed to handle proper accounting and bookkeeping.

Solution to This?
“Keep things in the right place” let the industry-related software handle your business process and have an accounting-related system to manage your bookkeeping and financials matters.

However, this will solve one problem and cause other: users in each department will have to work very closely together to make sure that information is flowing appropriately on both systems. Of course, the manual entry process may cause errors like missing or duplicate data.

Solution to This?
Have a tool that will run on-going integrations from your business-related application to the accounting system. By using this automated option, the current process of duplicate entry will be eliminated; the integration process will create, update and maintain the accounting system from any change in the industry-related application and the users from each department will primarily focus on their own tasks without overlapping each other’s functions.

This Integration tool can be found on the market and some of them can even leverage reporting and analytics that will help you make decisions on how to run the business to be more profitable along the way.

If you’re looking for specific Enterprise Resource Planning, defined by Wikipedia (an invaluable but sometimes dubious reference tool) as a system which is intended to manage all the information and functions of a business or company; a commercial software package that promotes seamless integration of all the information flowing through a company.

All the information flowing through a company? This means that the accounting system – the GL, AP and AR – is actually a subset of the ERP system. What else is included in an ERP system? Well, it does somewhat depend on the package, but typically there would be modules for manufacturing, wholesale/distribution, inventory management, supply chain management, human resources, payroll and perhaps more. Microsoft Dynamics GP, for example, is an ERP solution that covers all of the above-mentioned bases.

What’s more, since an application like Dynamics GP – for accounting and ERP – can integrate with Microsoft Dynamics CRM – for Sales Force Automation (SFA), marketing automation, and service management – and with SharePoint – for document management and much more – this ultimate,
end-to-end integration of three applications translates into total accessibility of business critical data.

Add dashboards into the equation and you have the best of all worlds. By accessing data from Dynamics GP, individualized dashboards can be created to meet the needs of every end user. Dashboards consolidate KPIs (Key Performance Indicators) in dynamically updated graphical format – easy to read and easy to understand. Reports don’t have to be re-created and re-run every time you want to view a business indicator, say for example, sales by sales rep or by product line or by accounting period. Just refresh the dashboard and the up-to-the-minute data appears (like magic). What a concept!

Here’s a link to view a random <a
