Things like government taxes and fees and perhaps even a fuel surcharge are thrown in. Extra charges on international flights can total hundreds of dollars — sometimes more than the ticket itself!</p><p>According to a report I heard on NPR, a new rule that goes into effect later this month will require airlines to include government taxes and fees — along with any mandatory charges — in their advertised fares. The consumer has the right to know the final price they will pay upfront.</p><p>As a frequent traveler I think this is a great rule!  But I think it should apply to ALL purchases in life. Even ERP software.  Of course, buying and installing accounting/ERP software is not a point A to point B trip. But there are some “hidden costs” that you should make sure you ask about up front.</p><p> 1. <strong>Does the quote include travel time?</strong> This is a common hidden cost that can rack up quickly. Each time the consultant comes to your office during the installation they may charge you.  Is mileage/travel time included in the quote? Does that partner have technology to do work remotely, thus avoiding travel costs altogether?</p><p> 2. <strong>What is the hourly rate?</strong> Make sure you know the hourly rate you will be charged not just the total project cost. Any “out of scope” or unanticipated work, will be charged at the hourly rate, and it could be higher than you think.</p><p>3. <strong>Did the system you saw in the demo include any ISV or add on products? </strong>That feature that you loved in the demo, that you assume is part of the core system, might turn out to be an <a
href="http://www.calszone.com/software/add-on-isv-products/">add on product for the core ERP software</a>. Even something simple like enhanced search functionality. If you want it, make sure the price is included upfront.</p><p>4. <strong>How much training is included in your quote?</strong> You might assume that you will receive adequate training but find out later that the Partner  only included 2 hours of training, and will charge more when this proves to be insufficient (which it will).  Insist that your quote include a detailed breakdown of how much time is estimated for each step of the implementation process, not just a lump sum of hours.</p><p>5. <strong>What level of data conversion is included?</strong> You might think that full data conversion is included but find out later that this is an extra cost.  Or perhaps you expected detailed history and the partner only quoted time for summary history.</p><p>6.       Are<strong> there any support calls included in the quote or annual maintenance plan?</strong> If not, what is the Partner’s billing policy? href="http://blogs.msdn.com/b/captain_stack/archive/2011/12/03/playing-nice-in-the-sandbox.aspx">Playing Nice in the Sandbox</a>”, our own local New England tech guru, John Dooley, answers these questions.</p><p>Just as a refesher, Office 365 offers a range of services from to email via Exchange, to Lync to SharePoint Online in the Cloud. <a
href="http://www.microsoft.com/en-us/office365/what-is-office365.aspx#fbid=K856ndmSuIr">What is Office 365</a>?  Microsoft Dynamics GP is full featured financial management/ERP software built on the affordable and highly-scalable platform of Microsoft technologies. <a
href="http://www.calszone.com/microsoft-dynamics-gp/">What is Microsoft Dynamics GP</a>?</p><p>It all started when John saw a simple demo of <a
href="http://tinyurl.com/caeq2xw">expense management in Excel 2010 with SharePoint Online</a> (Office 365).  But asked, how do you pay the employee for the expense report? With Dynamics ERP software (for example Dynamics GP). This is the tool to use to manage AP invoices and pay employee expenses. But how can you enable that expense report “in the cloud” with an on premise Dynamics GP system? And how can we get from the online version of SharePoint in Office 365 to Dynamics GP?</p><p>He solves this dilemma with two simple techniques to “bridge” between SharePoint Online and his Dynamics ERP on premise. According to his post:</p><ol><li>The first technique is to use Excel both as a tool to complete the expense report in the cloud and as well as a conduit to my intranet.  Once I open an Excel workbook from SharePoint Online on my local machine, I now have access to resources behind the firewall, thus providing an easy and secure way to access to local resources like a web service that can link to my on premise Dynamics ERP without all the complexity of the sandbox Silverlight callouts.  Basically thru bringing the document and data on premise thru Excel.</li><li>The second technique is to leverage SharePoint Online workflow and email integration.  By triggering a SharePoint Online workflow via a task approval event in SharePoint Online I can have workflow send email to an on premise process or folder in a SharePoint on premise server that enables me to action the expense report at a data level where information like Vendor Id, Document Number, Invoice Amount can move from the spreadsheet to/thru a process to a web service that handles the create/post to Dynamics ERP.  This technique uses the DIP (Office Document Information Panel) to move values from Excel into SharePoint Online.</li></ol><p>Watch John’s <a

According to <a
href="http://www.myrecordjournal.com/wallingford/article_39dc3c12-fc49-11e0-8425-001cc4c002e0.html">RecordJournal.com article</a> the audit has taken longer than expected, partly because the auditors found glaring holes in the financial records. The report indicates that the WHA failed to make full use of its financial software&#8217;s &#8220;general ledger&#8221; function, resulting in gaps of ledger activity in 2006 and 2007. When ledger information is missing, an investigating auditor has no choice but to suspect that someone is trying to hide something. Without that information, there may be no way to know for sure.</p><p>The WHA runs 317 rental units in low to moderate-income areas and has an annual budget of $1.5 million. Some of that money comes from state grants and federal assistance programs, which could mean criminal charges and possible removal of executive director, Stephen Nere, whose salary is $100,000 a year. He has been the WHA director for 26 years.</p><p>When I read this article it made me wonder if such a disaster could have been avoided if they had been using Microsoft Dynamics GP as their ERP system? Maybe not, because even with the best ERP systems, there is always room for human “error”. But Microsoft Dynamics GP does have strict <a
href="http://www.erpsoftwareblog.com/2010/02/be-my-valentine-%E2%80%93-why-cpas-love-microsoft-dynamics-gp/">GAAP compliant audit trails</a>that make it easy to trace which entries are made by whom and when.  And unlike some other systems, you cannot simply delete records from Microsoft Dynamics GP.  A complete audit trail is kept showing the original record and the adjustment made.</p><p>If there is no activity in the general ledger that probably means someone chose not to use it.  When receivables and payables were entered into the sub ledger they likely didn’t get posted all the way through to the General Ledger. Sounds fishy to me but I personally could not say why this would happen (although I guess the auditors in this case will find out.)</p><p>We recommend to our clients a tool called <a
href="http://www.calszone.com/marketplace/product/the-closer/">The Closer by Reporting Central</a>.  This tool looks for entries that don’t balance between the sub ledger and the general ledger.  So if the Wallingford Housing Authority had been using this tool, they would at least have been alerted to the problem earlier.</p><p>I have no idea what kind of accounting software the Wallingford Housing Authority uses. My guess is that it is some kind of complicated industry specific software or something designed for government/municipality needs.  But <a
