According to <a
href="http://www.myrecordjournal.com/wallingford/article_39dc3c12-fc49-11e0-8425-001cc4c002e0.html">RecordJournal.com article</a> the audit has taken longer than expected, partly because the auditors found glaring holes in the financial records. The report indicates that the WHA failed to make full use of its financial software&#8217;s &#8220;general ledger&#8221; function, resulting in gaps of ledger activity in 2006 and 2007. When ledger information is missing, an investigating auditor has no choice but to suspect that someone is trying to hide something. Without that information, there may be no way to know for sure.</p><p>The WHA runs 317 rental units in low to moderate-income areas and has an annual budget of $1.5 million. Some of that money comes from state grants and federal assistance programs, which could mean criminal charges and possible removal of executive director, Stephen Nere, whose salary is $100,000 a year. He has been the WHA director for 26 years.</p><p>When I read this article it made me wonder if such a disaster could have been avoided if they had been using Microsoft Dynamics GP as their ERP system? Maybe not, because even with the best ERP systems, there is always room for human “error”. But Microsoft Dynamics GP does have strict <a
href="http://www.erpsoftwareblog.com/2010/02/be-my-valentine-%E2%80%93-why-cpas-love-microsoft-dynamics-gp/">GAAP compliant audit trails</a>that make it easy to trace which entries are made by whom and when.  And unlike some other systems, you cannot simply delete records from Microsoft Dynamics GP.  A complete audit trail is kept showing the original record and the adjustment made.</p><p>If there is no activity in the general ledger that probably means someone chose not to use it.  When receivables and payables were entered into the sub ledger they likely didn’t get posted all the way through to the General Ledger. Sounds fishy to me but I personally could not say why this would happen (although I guess the auditors in this case will find out.)</p><p>We recommend to our clients a tool called <a
href="http://www.calszone.com/marketplace/product/the-closer/">The Closer by Reporting Central</a>.  This tool looks for entries that don’t balance between the sub ledger and the general ledger.  So if the Wallingford Housing Authority had been using this tool, they would at least have been alerted to the problem earlier.</p><p>I have no idea what kind of accounting software the Wallingford Housing Authority uses. My guess is that it is some kind of complicated industry specific software or something designed for government/municipality needs.  But <a

href="http://www.calszone.com/microsoft-dynamics-gp">Microsoft Dynamics GP</a> customers can get up to 3 user licenses of either the Business Essentials edition (normal price $2250 per user) or Advanced Management edition (normal price $3980 per user) for just $1.00 USD.  So essentially, if you need 1, 2, or 3 users you get the software for free;  (anything that costs less than a cup of coffee is basically free in my book.)  If you need extra users you pay for those, but you have still saved a big chunk of cash.</p><p>In all my years working with Microsoft I have never seen such an aggressive promotion;  so you may well ask: “Why would Microsoft do such a thing?” Here are a few thoughts:</p><ul><li>The economy is improving and companies need to be ready for the upswing but many companies that really need new ERP software have delayed making the purchase because spending is still frozen.  With signs of economic improvement, coupled with the number of companies that have been waiting on the sidelines to make a purchasing decision, now is the time for Microsoft to “do something significant.”  These companies are ready, they just need a good reason to act now.  And 3 users for $1 is certainly a compelling reason.</li><li>With the release of <a

But he correctly predicted that even if it is a better product, QuickBooks is so entrenched with small businesses and their CPAs that Microsoft just wouldn’t be able to shake it. But in my opinion that is ok, because <a
href="http://www.calszone.com/software/microsoft-dynamics-gp/compare-gp/gp-vs-quickbooks/">when companies outgrown QuickBooks</a>, they will come back to Microsoft anyway since the Microsoft Dynamics ERP products are far superior to Quickbooks Enterprise. (<a

href="http://www.bullhorn.com/blog/">Bullhorn Blogger</a>.  (Bullhorn in an on-demand front office system for staffing and recruiting firms).  Because we have many <a
href="http://www.calszone.com/industries/staffing/">Microsoft Dynamics GP clients in the staffing industry </a>(and our own custom GP add for them called <a
href="http://www.calszone.com/software/cal-custom-products/stafflinx-gp/">StaffLinx</a>) we like to keep informed on the issues that interest this community.  I read an interesting article in a Connecticut Business Journal that attempted to prove the point that when companies start to hire more temporary workers, it is an indicator that the economy is recovering.  (Read My Post Here: <a
title="Permanent Link: Staffing Companies Can Be Canaries for Economic Boom!" rel="bookmark" href="http://www.bullhorn.com/blog/?p=1066">Staffing Companies Can Be Canaries for Economic Boom!</a>).  This led me to start questioning what I consider as a sign that the economy is recovering.</p><p>We recently wrote a <a
href="http://www.calszone.com/free-resources-microsoft-dynamics-gp/white-papers/30-questions/">white paper about the cost of accounting software </a>- and I had over 200 downloads in a little over a month! (trust me, this is a huge # in my world)  This is a sign to me that people are researching and planning and preparing for new accounting software purchases.  This is important because they say that the life span of <a
href="http://www.calszone.com/software">accounting software</a> is about 7-10 years and many companies upgraded to their current system to prepare for Y2K. So right now many people are overdue for a change and limping along on old technology, just waiting for their own “sign” that the economy is getting better.  I hope that time has come!</p><p>While we have added more new new clients this year than last year at CAL Business Solutions, I personally believe that when the economy does show concrete signs of stabilizing there will be a flood of activity for accounting software buyers.  And we are ready for the flood!</p><p>What does your business consider as a sign that the economy is recovering?  Leave a comment and let me know.</p><p>by CAL Business Solutions &#8211; <a
