 Terry Borchardt, Applications Consultant and first line correspondent in customer support for DFC Consultants, took the time to simplify the reporting tools for us. His goal is to help us understand just when the right time is to use each tool, or a combination of them, to get the info we need. (Thanks Terry!)

 Here is a list of the more common reporting tools available in Dynamics GP and a little about each one.

 1)      Report Writer – this has been the default reporting tool since Dynamics was first released in the mid 90’s.  Modifying reports in Report Writer (for example – adding columns) can be a little tricky but it  definitely can be done. (Report Writer is included in your GP purchase at no additional cost.)

 2)      FRx – this is the financial reporting tool that was great for reporting all your common financial reports prior to version 2010.  With the release of version Microsoft Dynamics GP 2010, FRx is no longer supported by Microsoft on v2010 and future versions.  It has been replaced with Management Reporter. (FRx is included in your GP purchase at no additional cost.)

 3)      Management Reporter ( MR) – is the replacement for FRx going forward 2010 and beyond.  It utilizes many of the same concepts that FRx had. If you have an understanding of Microsoft Excel this tool should be very easy to use due to the familiar column and rows structure.  You’ll also use Management Reporter for financial reporting such as Cash Flow, Balance Sheets and Income Statements.  You don’t want to use MR for printing a list of goods sold.  You’ll do that in SmartLists, see below. (MR is included in your GP Purchase at no additional cost.)

 4)      Smartlist – This is functionality which comes with predefined queries that one can provide multiple restrictions in to get out the desired data.  Once the data is retrieved, it can be exported to Microsoft Excel or Word with the click of a button. (Sweet!) This is where you go print your list of goods sold or an employee list. (SmartList is included in your GP purchase at no additional cost.)

 5)      Smartlist Builder – At times the predefined queries don’t provide you with the information that you a looking for, so you need to go and create additional tables, views or queries that will give you that information.   If using Payroll and HR many of our clients purchase SmartList Builder to run “what if” scenarios with salary increases as well pricing scenarios. (SmartList Builder is currently priced at $1,950 and is worth every penny.)

 6)      Word Templates – At times you may have a situation where a Report Writer works just fine for almost all your needs.  Then, as an example, your company expands and wants to have a different logo for your Invoices and A/R Statements.  Word Templates lets you use existing Templates, modify them with a different logo, then save them with a different name. When it comes time to run the Invoice you can pick which Template should be used based upon the company you are in.  (Word Templates is included in your GP purchase at no additional cost.)

 7)      SQL Server Report Services (SRSS) – this tool expands report writing flexibility with more than 90 built in reports. If you want a prettier report (fancier than Report Writer) you can use the wizard which makes it easy to deploy also.  Those of you that are familiar with Crystal Reports may feel very comfortable using SRSS also, as they are fairly similar.

 Let’s summarize!

 So really what is the correct reporting tool?  Well the answer is “it really depends”.  If your needs are very simple, using the prepackaged Report Writer tools may be enough.  However, if you want more detailed financial information, Management Reporter is the way to go. If you want something prettier, but need more flexibility, then you might want to look into SQL Reporting Services (SSRS).

 Exporting Data to Excel?

If you need to get information out of Microsoft Dynamics GP quickly and be able to “play” with it in Microsoft Excel, Smartlist or Smartlist Builder will be your tools of choice.

 Personalize your Reports

Finally, if you have multiple needs for the same type of information but it needs to look slightly different, the Word Templates would be something to look into for including company information or logos on Invoices and A/R Statements.

 There is another alternative to track inventory. They can track inventory with barcode labels and quality barcode software and do it simply and easily.

 Generally, inventory comes into a warehouse into the receiving area and that’s where the challenge begins.  First the inventory must be received.  Then it must be put away in a warehouse location.  If the initial inventory is barcoded, the barcode may or may not be suitable for each particular business’s inventory management needs.  That means that incoming inventory stock must be re-labeled with new barcodes or simply left unlabeled and put away.  If the latter is chosen, deciding that it’s just too much work to barcode label inventory, good luck with finding that inventory item again when it’s needed.  If, however, the incoming inventory items are labeled with barcode labels that are available as print on demand, the process becomes simplified.  Tracking inventory with barcodes saves time and money.

 Another option is to simply create an Inventory Book with Barcoded labels so that you can scan in without physically barcoding all items in the warehouse. Utilize the Inventory Item and Vendor Item relationship to use existing vendor barcodes already existing in GP Dynamics.

 Once the initial barcode label is applied to the inventory item, it can then be quickly scanned for its next location and easily monitored with barcode software.   Scan the barcode label to put the inventory item away, scan the inventory item’s location, and the put away is complete.  Then, simply receive the work
order to move the inventory to its next home – scan the barcode label of the location, scan the barcode label of the inventory item, scan the barcode label
of the next home.  Done, done, and done.

 Barcode is quick. Barcode is accurate. Barcode is very well accepted by users as it makes their jobs in the inventory control process easier.  Track inventory with barcode and you’ll begin seeing benefits.  Follow these basic guidelines and implement a successful Inventory Control and Inventory Management

Back to topic, statuses of Manufacturing Orders or MO.  Microsoft Dynamics GP Manufacturing allows for various statuses of a Manufacturing Order.

• Quote/Estimate (this can be set from the Sales Order)
• Open (this can be set from the Sales Order)
• Released
• On Hold
• Cancelled
• Partially Received
• Complete

Where do you start?  Before materials can be issued to the manufacturing floor for production, the Manufacturing Order must be in a status of Released.  Once it has been decided that the Manufacturing Order is going to be built, material inventory can be allocated specifically for that Manufacturing Order or it can be issued to the manufacturing floor.  If the Manufacturing Order gets cancelled, the unused materials can either be put back into the warehouse for other orders or they can be unallocated.

Make sense so far?

Changes to items? No problem. If changes need to be made to the items that need to be sent to the production floor for a particular order, this can easily be accomplished via the Picklist process.  Once materials are issued to the Manufacturing Order, those materials are removed from their inventory storage location (site) and transferred into a Work In Process (WIP) site. (Also during this process you can see if you have material shortages or select serial or lot numbers for the component items.)

Once the Manufacturing Order is either Partially or Fully Received, the related costs are removed from Work In Process and used to make up the cost of the finished good.

Tip: If your processes are not very complex or require little build time, Microsoft Dynamics GP Manufacturing has the capability of putting items into Work in Progress (WIP) and then recording the production that has already happened, with just a couple of mouse clicks.

When you create a MO through SOP there is an automatic link between the line item and the MO that is generated. Through SOP you must backorder (B/O) the part or MO will not see a need to be created. The part must be a Made to Order part from the Item Card.

Build and link parts: From the MO window you can build a part and then you can link it to a back order (B/O) or SOP (Sales Order Process) so that they tie together. Once you have stock, the SOP will automatically go from a B/O state to the parts being allocated. You must then fulfill the SOP in order to process it throughout the system. You can enter shipping information, BOL (Bill of Lading), freight charges from that box and it will populate the SOP for you.

Have you upgraded to Microsoft Dynamics GP 2010 yet? If so, have you started to use Managment Reporter?  Don’t be shy to start using it. In fact I would  just for these two reasons.  

UNDO and REDO.

Yes. It’s true. Undo and Redo. How many times have you wished for those capabilities in FRx? There is more than one reason to start using Report Manager.  But I admit, those two little gems are enough to get me started.

Here are 9 more compelling reasons to start looking at migrating over from Frx:

9. Similar to FRx on the front end, differs a little in the back end (If you are comfortable using Frx, learning the small differences in Management Reporter will be a non-issue.)

8. DFC has solutions to migrate reports from Frx to management reporter (if we’re not your partner, your partner should as well!)

7. Users can be added on Active Directory (this means Management report actually uses your window’s login)

6. Report Wizard: build rows and columns and format/edit later to speed up report building (this includes a  7 step report wizard). DFC can show you how to build an Actual to Budget report in 5 min.

5. Navigation is similar to Microsoft Dynamics GP (Outlook) feel.

4. Easily create folders in report definitions

3. Chaining catalogs in MR is simple by using Report Groups

2. Formatting mask is much easier than in FRx (one click)

1. Last but not least the number 1 reason to start using Management Reporter…so good I had to reference it twice. Hello Override function! Undo and Redo (this truly simplifies building our reports, etc)

 Talk with your Microsoft Partner (VAR)  about planning your migration from Frx to Management Reporter, here are few topics to cover:

• FRx will continue to be supported according to the GP 10 product lifecycle.  When should you truly start planning to migrate over to FRx?  
• Descriptions come from segment – not account description.  An SQL update could take care of mass segment description update. (check with your partner or DFC!)
• 32 and 64 bit (how much memory server can access) – Frx is not supported on 64 bit. What kind of server do you have?

If you haven’t upgraded to Microsoft GP 2010 yet, it’s a pretty smooth upgrade.  MR is installed with SQL and web components. The most common problem we’ve seen is connection to data is not ODBC connection which causes some issues. But they are minimal.  If you haven’t done so yet,  get a quote for the upgrade service hours, and start planning now!  Don’t be scared to start using Managment Reporter. My guess is you’ll end up really enjoying it.

DFC just had their fall quarterly User Group. We love our quarterly User Groups because there are so many insanely valuable things our clients need to see and hear, especially with GP 2010.

It’s our job as a Microsoft Partner, to get in front of our clients and walk through the technology. (Read this If you still don’t understand what GP 2010 is, or Wave 14)  It’s your Partner’s job to help you identify what’s out there and how it can help improve your business, and to educate how to use it.

This quarter we focused on a few areas that we felt needed more clarification regarding Workflows. 

Firstly.  Let’s break this down a little.

What is a workflow? – A workflow enhances GP functionality by allowing routing and approvals.

Maybe you hired a new employee and want to notify all departments about the new employee.  This is where workflows will help streamline and automate your business process.  We’ll explain this process a little further down.

But first you need to know about something that’s changed.  Accessing Workflows are Free from a licensing perspective.  What’s changed? MOSS is no longer required to use workflows in GP 2010.  Sharepoint licence is included with Windows Sharepoint Foundation, which comes with your SQL Server.  So, from a Sharepoint licensing perspective, workflows are FREE.  From a Microsoft Partner perspective, this makes everyone’s lives MUCH easier.  Thank you Microsoft!

Tips on using workflows:

• Workflow setup is done on Microsoft Dynamics Workflow Web Site
• Workflows can be created for each workflow, but happen only one at a time
• Security in Workflows is different than securities in GP.  When we select a workflow from the website, the screen changes globally, so all approvers (ie purchase orders) will see the same screen.

Types of Workflows:

• Vendor Approval – NEW with GP 2010
• Electronic Signature Approval – NEW User Defined electronic signature approval!  Allow people outside of GP (non GP users) to approve and sign off of workflows via email notifications to provide their electronic signature on approvals.  If you’re not excited about this capability, you might want to stop reading.
• Employee Onboard Approval – NEW with GP 2010
• Action Step Workflow- NEW with GP 2010 and different then “approvals”.
• Purchase Order Approval
• Sales Quote Approval
• Customer Credit Limit Override Approval
• General Ledger Batch Approval
• Payables Management Batch Approval
• Receivables Management Batch Approval
• Employee Personnel Approval

Let’s talk a little about the Action Step Workflow.

The Action Step Workflow allows users to define actions for each step of the workflow.  This helps you define who’s approving the workflow vs. who has an action to provide.

Example of why this is cool: The new Employee On Board Workflow takes advantage of this action step feature.  As new employees are added to Payroll, there are many setup steps and several departments involved.  There are tasks within HR and Payroll, like pay codes and benefits, as well as tasks outside of HRP such as building security, ordering a computer, or scheduling new employee training.

First, let’s clarify what these different deployment platforms are.

On-Premise:

Tried and True. This has been the standard implementation since the inception of Dynamics ERP. On-premise provides full-bodied functionality and customizations to companies with their own internal IT resources.  On-premise solutions require adequate infrastructure, and a commitment to on-going maintenance and security.  This doesn’t mean you have to be a Fortune 500 Company.  Simply, it is advantageous to have suitable IT on staff.  The total cost of ownership is higher than the other options, but can be reduced over time.

Payment: Owned License with up-front software purchase.  Yearly licensing fees. (Reasons why to stay on top of your licensing fees)

On premise might be a good fit if your organization:

• Has more than 10-15 users.
• Has the need for increased customizations and integration with other applications to maximize your efficiencies. (yes please!)
• Prefers to have complete control over the maintenance windows, issue resolution, security, data, and service pack updates etc.
• Is interested in greater long-term value and ideal when you’ve already invested in an IT environment and staff.

Hosted:

Hosting offers a convenient, cost effective solution for companies with limited or no internal IT resources.  DFC’s clients have the option to purchase their Microsoft Dynamics solution and host it in a secure data center for enhanced security, improved performance and peace of mind with no down time.  The application is accessible via the internet for greater flexibility.  These applications can be moved on-premise at any time, and on-premise solutions can be moved to a hosted environment.

On-Demand:

Aka – cloud computing

Aka – Saas (software as a service)

You’ve heard the buzz by now.  On-demand offers similar capabilities of an enterprise-level business management application, with off balance sheet costing.  An application provider hosts and manages the software solution, and you pay a monthly subscriber fee.  On-Demand. Cloud. Saas. However you want to say it, these applications are accessible via the internet. 

For example, one of the largest hosting providers RoseASP has developed a “cloud” offering for Microsoft Dynamics GP called, myGPcloud.  This service starts at $139 per month.  The myGPcloud service includes all of the rich accounting, business-intelligence and  financial-management features of Microsoft Dynamics GP, as well as automated on-line provisioning, training videos and guides, template setup and technical support, and available integration to business portal, SharePoint, and customer relationship management systems. Payment:  Monthly subscription.

On-demand might be a good fit if your organization:

• Prefers to outsource.
• Has less than 15 users.
• Has no IT.
• Desires fast time to benefit, with minimal commitment.

Suggestion:  Before you commit to subscribing, make sure your provider will make available a backup of your data including all reports and customizations and deliver it to you.

Bottom line, whatever direction you go, you should be in position to migrate to whatever deployment makes the most sense to your business.   If you start out with On-premise by hosting and maintaining your own SQL server,   you can stack on CRM on-line, which is another hosted solution Microsoft offers.  Down the road if your organization experiences changes where IT is downsized restructured, you easily can migrate to a hosting company.  No data is lost, and no additional licenses will be required.  You just have to pay hosting fees (in addition to your licensing fees.)
