Although change is not something we accept by nature, we need to acknowledge the necessity of it within the software and technology world in order to improve our chances of success. I’ve pointed out to you that change isn’t easy for us to handle, so why not make your software upgrade easier on you and your colleagues? Sandeep Walia, President and CEO of Ignify points out how usability can be the cornerstone of success or failure for a CRM implementation. Microsoft Dynamics acknowledges the difficulty of taking that rather intimidating leap and creates ERP software solutions that similar to the programs you use on a daily basis such as Microsoft Office and Microsoft Outlook, but still have the power to manage the overall spectrum of your business.

For example the screen below shows the Dynamics ERP home page for a financial controller. An intuitive home page like this not only makes the software less intimidating it also provides a daily starting point for users of the system and allows them to manage their work better.

Microsoft Dynamics ERP provides approximately 35 such role centers and dashboards out of the box to make your implementation successful and improve adaptability. Another example shown below is the home page of an Accounts Payable Manager

To make your ERP implementation pack a punch and deliver ROI there are several factors that you need to put into motion, such as organizational change, training, and communication plans . This is where Ignify comes in, to make this transition complete so you can see the results you paid for and deserve.

Bhavesh Ashani is the Vice President of Ignify. Ignify is a technology provider of ERP, CRM, and eCommerce software solutions to businesses and public sector organizations. Ignify is a global Microsoft Dynamics Inner Circle Partner and ranked in the top 1% of Microsoft Dynamics partners. Ignify has been included as the fastest growing business in North America for 3 years in a row by Deloitte, Inc Magazine and Entrepreneur Magazine.

So in conclusion, even though it’s our “natural” response to avoid change, don’t be scared! If you’re experiencing difficulty with your current systems, you need to make an essential change and NOW before it’s too late.

Twenty years ago when our firm began, custom developed software was the answer to a company’s needs. Packaged software with the features necessary to meet the standard requirements of a business enterprise was too large, complex, and expensive or it was too small and too simple to provide much value beyond basic accounting. So the answer was to build what you needed. Beginning in the early 1990s, publishers began adding functionality to their software and in the last few years we have had access to broadly featured ERP solutions for the middle market players. However, with our new, connected business ecosystem and with the overwhelming possibilities provided by the internet, we once again found ourselves limited by the software features available.

Today, with the release of Microsoft Dynamics NAV 2009 we have everything we ever wanted – a broadly featured enterprise financial system with a totally open development environment. We can build, attach, reference, interface with, display, or engage anything one might imagine. How about a warehouse heat map that would allow you to view bin activity and make bin transfers with drag and drop? What if you had a map of your customer’s location visible right on the customer master card and that map also had all of your other customers showing so you could easily combine sales or service visits? How about connecting to your suppliers or your customers electronically and in real time? How about a full GPS vehicle tracking system for your fleet? All of this and more is available with the Client Extensibility tools available with NAV 2009.

To be truthful, I hesitated to type the ideas in the paragraph above because the sky is really the limit. Any time one presents a short list of ideas those ideas will tend to focus the reader’s attention and potentially eliminate unrelated, yet still powerful possibilities from thought. We used to consult clients from within the borders of the software tools we had available. The new paradigm we must now absorb will be to leave our tools at the office and truly whiteboard possibilities for our clients without the constraints the tools used to provide. We are free to focus on the processes or issues and imagine the solutions without limitation. What a brave new world this is!

I, for one, am very excited about this new environment, but not without some trepidation. My pause comes from knowing my own limitations as a creative thinker. It scares me just a bit to realize that there are a million possibilities and I will likely only see three. However, I am just one fellow and in our business, it often takes a team to breed a great solution. I am comforted by the knowledge that I am surrounded by one of the best teams of ERP implementation experts working today!

Thanks for reading – I look forward to your comments.

Here are some key things to look forward to with Microsoft Dynamics GP 2010, releasing right after Convergence this spring:

1. Microsoft Dynamics GP 2010 is going to be a big hit.

If you are still on version 9, you are very much overdue for an upgrade. Some of the key new features in Microsoft Dynamics GP 2010 like native emailing of P.O.’s and printing invoices via MS word will give you a reason to embrace the GP upgrade.

Workflow in Microsoft Dynamics GP 2010 will no longer require Microsoft Office Sharepoint Server (MOSS) but will work with Windows Sharepoint Server included with Microsoft’s server operating systems. This removes cost and experimentation barriers for workflow in Microsoft Dynamics GP, which should help drive greater adoption of this new version.

The bright future may be farther out than we would like, but we can see that it’s out there and should start making investments to capitalize on the ultimate upturn.

2. Business Intelligence will continue to be hot.

The release of Office 2010 will allow even tighter links with Microsoft Dynamics GP 2010 and provide some significant improvements for Business Intelligence.

Microsoft’s PowerPivot tool for Excel 2010 will bring incredible power and ease of use to self service Business Intelligence inside of Microsoft Excel. When combined with Microsoft Dynamics GP’s Analysis Cubes, you will have faster and easier ways to analyze your operations than ever before.

3. The Dynamics Community will continue to flourish.

With Blogs, Twitter, Facebook, Newsgroups, Forums, Google searches and more…People who can’t find help with Microsoft Dynamics GP aren’t trying very hard. There is more information out there to help you than ever before.

Microsoft has made some significant improvements in its CustomerSource website including significant improvements in my personal pet peeve search.

There are more ways than ever for you to interact and learn about Microsoft Dynamics GP. For a long time, the only event was Convergence, Microsoft’s customer conference for Dynamics users. Now you can add Decisions, the virtual conference and trade show from MSDynamicsWorld.com as another learning opportunity. In addition, the GPUG Summit later in 2010 will deliver opportunities to learn and share about Microsoft Dynamics GP. Finally, we here at Computeration are increasingly providing live events and webinars to help you improve your Microsoft Dynamics GP solutions. The future for the Microsoft Dynamics GP community has never been brighter.

All things considered, Microsoft Dynamics GP 2010 sounds like it will be easy to adopt and even more convenient to find out more. Specializing in ways to enhance your company’s solutions with Microsoft Dynamics GP in Idaho and the Pacific Northwest, with clients around the world, Computeration makes your implementation successful by offering experienced project management, data integration, training, and consulting services.

Management reporting plays a key role in performance management. Displaying business results, performing variance analysis, comparing projections, and consolidating data from disparate general ledgers provides business users with the business insights they need to make timely and relevant decisions., Accurate and auditable reporting is also essential to regulatory compliance.

Wait a second………..Replacement for FRX?

Don’t panic………… FRx is NOT going away, at least not yet. Management Reporter will eventually replace FRX entirely, but not for many years, probably around 2014. However, I expect that by the time that rolls around, we will have all made the transition to Management Reporter, and the passing of FRx will have next to no impact.

But why replace one OF the best financial reporting tools around? Well, in the immortal words of Tim “the Toolman” Taylor, “More Power!”

FRx has been around for nearly 30 years! Simply put, Management Reporter takes everything you know and love about FRx, and adds a huge helping of More Power. It is the difference between a Cessna prop plane and a Boeing 787 Dreamliner. 64-bit processes compared to a 16-bit process. SQL Server database and an Access database.

The best news about all of this new power? It is all behind the scenes, working hard to generate reports much faster, but the FRx user will never know!

All of the familiar building blocks of FRx are still present (and nearly all of your existing FRX Rows, Columns, and Reporting Trees will migrate to Management Reporter, with no need to re-write them).

Management reporter extends the proven functionality of FRX with new features including:

Cross-Enterprise business views – pull business information from multiple sources into one view of your business.

Easy and Secure Report Distribution – both static and dynamic reports can be generated and distributed via email, published in Report Libraries, with SQL Server Reporting Services and thru Excel.

Strong support for Regulatory Compliance – GAAP, IFRS, and Sarbanes Oxley compliant reporting are all supported with Management Reporter.

Easy creation and Customization of reports – designed for the end-user, Management Reporter reduces the workload on your IT and Accounting staff, empowering key decision makers to build and maintain their own reports.

Advanced Financial Intelligence – with the creation of hierarchies within the reporting trees, it is easy to view the business as a whole, or drilldown into specific business units and departments. Continue drilling down to the account level, and even drill back into Dynamics GP to see the originating transactions!

This means that the Dynamics GP Business rules will be followed when loading data and you do not need to know the physical table names of each table.

Scribe has made the following objects available in the adapter for Dynamics GP:

General Ledger

Fixed Assets Management

Bank Reconciliation

Receivables Management

Payables Management

Sales Order Processing

Inventory Control

Purchase Order Processing

Field Service Management

Payroll Management

Project Accounting

Analytical Accounting

Additional objects permit access to Customers, Vendors, Internet information and notes.

Scribe has also written customized functions specifically for Dynamics GP. These include automatically generating a unique Customer or Vendor ID, converting dates and phone numbers to conform to Dynamics GP requirements and 10 ways to calculate unit price.

Scribe also provides adaptors for Microsoft Dynamics CRM and CRM to GP integrations.

As always, a successful integration project requires proper planning and a competent delivery team. Look for a partner that has Certified Scribe Consultants on staff and has had several successful deployments of Scribe.

1. Leave technology to the experts: Businesspeople trying to become technology experts often ignore their business. Stick to what you know – your products/services and business. Leave the rest to technology experts.

2. Don’t hesitate to take a risk first: Taking a ‘wait and see’ approach seems prudent, but it will frequently put you behind your competition. Often innovation and new solutions usher in higher levels of performance and result in cost savings. Don’t wait for your competitors to test the waters, allowing them to reap the benefits while your costs escalate and business performance slows down. Take the dive yourself.

3. Focus on the profit, not the contract: SMBs work hard at finding, closing and keeping customers. In this rush, many choose to run from one contract to another, never really measuring the costs associated with a product/service, a market, or a customer. In this rush, SMBs tend to overlook the need to measure their desired profit growth. SMBs need to assess where they should spend their time by how much profit is created. This can be accomplished through automated financial and reporting systems which put owners in control of their information, allowing for the informed decisions to be made.

4. Supply your employees with the best productivity tools: In the quest to manage costs, SMBs will often hold back on utilizing new and innovative productivity tools, the result of which is decreased productivity, a higher volume of errors, and customer dissatisfaction.

5. Be accessible to your customers, vendors and suppliers at all times: Many SMBs forget that their customers are a large part of their business success and future growth. A lack of collaboration can lead to a communication breakdown and your relationships with your customers will ultimately suffer as a result. Being out of touch with your vendors/suppliers can keep you from negotiating better prices or terms. Integrating your ‘value chain’, from suppliers to customers, will open up communication and can result in unprecedented growth.

6. Stay ahead of your competition: It is hard to become a leader in your market or in your customers’ eyes if you always take your cues from the competition. SMBs should strive to become leaders in their own right. This is achieved through a clear understanding of the market including their products/services, the competition, and customers. Information available through industrial-strength financial and collaborative solutions will help you to understand these areas of your business and keep you ahead of the competition.

7. Invest your time in seeking new opportunities: Leading SMBs invest their time in constantly creating new opportunities in order to grow their business and stay ahead of the competition. Many SMBs make the mistake of investing their time into protecting their markets and existing customers while the competition speeds past them. Rule of thumb: it’s better to play offense instead of defense.

8. Cheap and inexpensive is not always the right way to invest: We all want to conserve costs, but often SMBs will expect the best, while only being willing to pay the least. Adopting new technologies or solutions that are inexpensive can keep your business from growing at full speed. Avoid considering opportunities based upon price alone; instead make wise investments that will return new opportunity, revenue, productivity and profit.

9. You can’t do it all: At some point we all learn this lesson. SMB owners will often try to handle every problem area of their business on their own instead of surrounding themselves with the best talent and tools to help. It is important to capitalize on the strengths of these experts and put them to work.

10. Don’t forget about hidden costs: Technology industry analysts and seasoned business executives have difficulty putting a hard figure on the Total Cost of Ownership (TCO) of today’s traditional SMB application solutions. In computing the cost of software, businesses tend only to focus on the purchase price, yet even when fully operational, software requires additional expenses. Don’t forget to budget for costs associated with support, maintenance, and upgrades.

This is Part II of a 3-part series entitled “The 3 Ps of Software Selection – The Process, the Pitfalls, the Promise.” Part I was a high level view of the basic questions you need to be asking and the basic elements you need to budget for as you work through the software selection process. If you missed it, you can click here to read “Selecting an ERP/Accounting System – Part I: The Process.”

Part II provides some useful insight into the pitfalls to avoid when selecting an ERP/accounting system for your company.

For example, here’s a list of the most common problems that occur during the selection process:

– Insufficient documentation
– Insufficient training
– Underestimating the implementation time/effort
– Underestimating the costs
– Overestimating internal capabilities
– Over-engineering the project; Not allowing for course corrections
– Focus on product vs. process and people
– Choosing a system that’s too big or too small
– Failing to obtain executive buy-in
– Failing to obtain end user buy-in
– Failing to establish criteria for measuring success

You can avoid these pitfalls and minimize your risks by following these simple guidelines:

– Have thorough documentation
– Set realistic expectations
– Leave it to the experts
– Be flexible, allow for course corrections
– Create a short list early
– Focus on a limited number of solutions
– Obtain company-wide buy-in
– Establish criteria for measuring success
We’re eager for more “sneak peaks” of what this new version can actually do. In addition to functionalities to address specific needs around financial, human resources, payroll and operation management it sounds like there’s new, enhanced integrations to other Microsoft products like Microsoft Word, Excel and SharePoint…let’s find out more!

As you may have noticed there is a plethora of information out there, but for those of us who like it short and simple, here are four main reasons your company will undoubtedly benefit from this upgrade:

Speeds up overall planning for your daily routine and annual business plans. GP10 is able to offer a clear route to deeper analysis with role-based, personalized dashboards and KPIs that include charts, graphs, and gauges that allow access directly to Microsoft Dynamics GP.

Performs advanced analytics, such as what-if scenarios and predictive modeling and forecasting, in Excel by connecting built-in SQL Server data mining tools with Microsoft Dynamics GP ensuring a higher ROI for your company- less risk and more gain.

Reduces steps for routine tasks with enhanced workflow, including new workflows, integrated with Microsoft SharePoint workflow for on boarding employees, vendor approvals, and others.

Integration with other Microsoft Products, such as Microsoft Word, Excel and SharePoint. You will have the ability to create customized forms and templates for your invoices or purchase orders within Microsoft Word that will be integrated with your GP system. It also extends integration into Microsoft Outlook, giving you the ability to send direct e-mails from more locations as a list, batch or single transaction.

If you want more information on how the release of Microsoft Dynamics GP 2010 can help your organization, please contact us. We’re a team of experts that can help make these awesome four benefits (and of course more) a reality to you and your company.

In some cases, it’s not really what you know; it’s how you use the information. Highly productive people prepare things well in advance, allowing them to outperform those with little or no preparation. They accomplish the job in less time and with less stress. That’s called working smart.

Nearly everyone receives initial training when Microsoft Dynamics GP is first implemented, but how many of us continue to train on the finer points of GP? A great article on MSDynamicsWorld.com lists out pros and cons of GP training and its methods. Check it out and learn how you can work smarter with Microsoft Dynamics GP:

Types of GP Training

Classroom (onsite or offsite)

Pros

Interaction with others provides immediate response to questions

Formal classroom setting requires participation and completion of work on a set schedule

Isolation from distractions (unless you allow your cell phone, Blackberry, laptop, etc to distract you in class)

Networking

Training delivered generally by professional trainers

Cons

More costly than other training methods

Requires time away from the workplace

May require overnight travel

Available only on someone else’s schedule

E-Learning

Pros

Nominal or no cost

Can be done in the comfort of your pajamas

Can be done anytime

Doesn’t require travel

Microsoft training materials are excellent, high-quality resources, written by experts in the community

Cons

No interaction with others, no immediate feedback to questions/comments

Can be done anytime – no structure forcing you to complete in a given timeframe

Can be easily sidetracked with distractions at work or at home

You’re pretty much on your own and get out of it what you put into it

For more information about Microsoft Dynamics GP Classroom training, check out this link and for E-Learning opportunities, follow this link .

I encourage and challenge you to think about how training can make you and your organization more competitive in the market place. This is particularly important as we’re exiting the recession. Companies need more output from the same number of employees because business is picking up, but employers are still reluctant to hire until they’re sure the recession is over. Stay ahead of the game with GP training!

Our clients already take full advantage of Microsoft Office Outlook®, Microsoft Office Excel®, and Microsoft Office Word which integrates with Microsoft Dynamics GP—without leaving the ERP solution. In the new release our clients can quickly create customer and vendor-facing documents using Word forms. They can also send batch and individual e-mail messages for invoices, orders, and check remittances. This is a new feature that will be demonstrated at our workshop. Now our clients will get more work done in less time—and the work looks more professional and polished.

There’s more . Our clients can now work more efficiently, with precise tracking and accountability, by using new workflow approval processes and improved capabilities for documenting sign-offs. In addition, simplified system access includes default logon settings that can save users valuable time.

The latest release also makes it easier to meet unique business needs with built-in personalization tools. For instance, no more juggling customer and vendor information stored in multiple sources such as Microsoft Office Access® and Excel. Without writing new code, administrators or users can create a mini business application in Microsoft Dynamics GP that consolidates the information for easier tracking and management by multiple people, for multiple tasks.

Microsoft has paid close attention to the Microsoft Dynamics GP Community’s requests for enhancements that improve business efficiency and performance in highly specific areas—including analytical accounting, budget tracking, payables and receivables, payroll, field services, manufacturing, and distribution in a complex marketplace.

As a Microsoft Dynamics partner with over 20 years experience we know that knowledge plays an essential role in the effective use of Microsoft Dynamics GP. Don’t miss this free workshop – Sneak Peek of Microsoft Dynamics GP 2010 hosted by InterDyn Artis on Friday, March 19th at the Microsoft office in Charlotte, NC. Please contact Judy Van Der Linden at 704-321-3881 if you have any questions or would like to attend the Sneak Peek of Microsoft Dynamics GP 2010 workshop.

InterDyn Artis is making it easier for the Microsoft Dynamics GP Community to do business. This blog was written by Judy Van Der Linden, InterDyn Artis, a Microsoft Gold Certified partner located in Charlotte, NC.
