style="font-family: Calibri; font-size: small;">I’m excited about attending Microsoft Convergence 2012 in Houston this year. I try to go every year and this will be my fifth or sixth time to attend as a partner. For the uninitiated, Convergence is an annual conference put on by Microsoft for Microsoft Dynamics customers. Users and decision makers of the Microsoft Dynamics flagship products (GP, AX, NAV, SL, & CRM) will be in attendance. Microsoft representatives from Redmond to Fargo to Copenhagen will be there representing research and development, support, services, sales, marketing, and other areas. Last year, attendance was around 9000 people.

For me, it boils down to four key things that make Convergence a good value:

1) Opportunities to Learn (Sessions) – By attending as many concurrent sessions, deep-dive sessions, user group sessions and hands-on labs as I can, I always leave Convergence with new ideas, solutions to long-standing challenges, and pages of notes.

2) Talking to the Pros (Technical Support Desk) – No, I don’t save up all of my technical support problems for Convergence. But, I always have one or two sticky wickets that I want to run past the pros in person. They’re always helpful and it’s so nice to put a face with a voice when I actually do open a support ticket. (They say the same.)

3) Face-to-Face with Third Party Solutions (Expo Hall) – There are so many third-party tools for Microsoft Dynamics products, it’s nearly impossible to know what they all do, where they fit, and what they look like. As a partner, it’s imperative that we know what is out there for our customers and prospects. And, for customers, the expo is like a wonderland with so many tools and problem solvers all in one (very large) room. I generally plan to visit a few times during the conference focusing on one specific area of the room at a time. Otherwise, it can be very overwhelming.

4) Networking – Meeting with customers, other partners, Microsoft representatives, third party solution providers is almost a full time job at Convergence. Opportunities abound – from one-on-one meetings to all-night parties.

My best advice to those attending is to bring your best walking shoes, dress comfortably, and get plenty of rest before you come. You won’t get any while you’re there.

By AIM Technologies – <a

Regularly, many hot fixes are combined into a single package (called a service pack), which is made available for installation. Service packs are generally cumulative, meaning that each new service pack contains all the fixes that are included with previous service packs and any new critical security fixes should address specific situations that arise. During the term of your Enhancement Plan you will have access to any service packs and hot fixes released for your Microsoft Dynamics product.

Another huge benefit to Microsoft Dynamics customers, especially those who use the Payroll functionality, is access to Tax and Regulatory updates. During the term of your Business Ready Enhancement Plan, you will have access to tax and regulatory releases for the Microsoft Dynamics products. These updates include Payroll Tax Table updates, and year-end 1099/W-2 updates. These updates are crucial to keeping your system up to date and compliant with State and Federal Regulations.

As you can see, an Enhancement Plan brings great value to customers and is a vital part of maintaining your investment! Associates Solutions, Inc. is a nationally-recognized service and solutions provider that specializes in delivering Microsoft Dynamics Solutions. We are headquartered in the Kansas City metropolitan area, while servicing our clients across the United States, Canada, Europe, and South America. We are proud to offer <a

The selected upgraded software is purchased; the annual plan locked in; funds are spent for implementation, consulting, travel expenses, and training. All that’s left is “free” online training. The key employee that drove the decision has dug his heels in to defend the implementation.

But the truth is, they aren’t live.

Some part of the installation is damaged and they can’t even access their prototype, and when they do get into the prototype, even the decision-maker says he’s confused with the numerous inquiry windows and can’t find data that he needs quickly.

What happened? After starting the evaluation with six products, the final decision quickly came down to Dynamics GP with SalesPad against one other contender. The decision was tipped under heavy pressure from the contender’s sales executive who flew in to close the deal, and the client decided:

Upgrading their ten-year-old product would be easier on them with a shorter learning curve.

Remote training and support was adequate.

The consultant who would come on site for a week knew the product well so a fixed bid implementation was adequate and attractive.

The turmoil the contender was undergoing due to the recent acquisition of the software product was immaterial. The product had continued to live on after numerous mergers and acquisitions, so there was no reason not to have confidence in the implementation.

6 Lessons Learned

Beware of sales executives who fly in just to close a sale. Sounds a little like the sales manager behind the closed doors at the car dealer, doesn’t it? Tactics are sales-centered; they do not represent concern for your company’s well-being.

Seek a software developer who is stable. If the management, support, and future development aren’t in place, the product is doomed for the long term.

Just because support was okay with your old product, it doesn’t mean that the new owner of the software will run their operations the same way…especially after three product ownership changes in ten years.

The new version doesn’t work or look anything like the ten-year-old version of the product.

Alternative training methods and implementation support are always needed to meet various learning styles.

An implementation plan must provide a process for the consultant to get familiar with your company and personnel. Plus, they should already know your industry and their product.

Dynamics GP and SalesPad would have been live by now for this company. I know that because I’ve done it hundreds of times. The reaction to SalesPad’s flexibility is always, “Wow! This is a great tool!” And that reaction would have extended with every user during and after the Go Live.

We would have been there for this company; whatever it takes. That’s how we do implementations. You may say, “Yeah. Great. More hours and money for you.” However, 10-20 hours more time can make or break an implementation of $150,000. The point is, if you need it, it’s available. We are sincerely interested in your success.

By What is the best way to get information out of Microsoft Dynamics GP 2010? This is a common question that gets asked and if you’re a newbie or maybe just researching Microsoft Dynamics GP, you should know there are multiple ways to pull data out of GP. You don’t even have to ask your IT to do it for you, thus saving time and money.

Terry Borchardt, Applications Consultant and first line correspondent in customer support for DFC Consultants, took the time to simplify the reporting tools for us. His goal is to help us understand just when the right time is to use each tool, or a combination of them, to get the info we need. (Thanks Terry!)

Here is a list of the more common reporting tools available in Dynamics GP and a little about each one.

1) Report Writer – this has been the default reporting tool since Dynamics was first released in the mid 90’s. Modifying reports in Report Writer (for example – adding columns) can be a little tricky but it definitely can be done. (Report Writer is included in your GP purchase at no additional cost.)

2) FRx – this is the financial reporting tool that was great for reporting all your common financial reports prior to version 2010. With the release of version Microsoft Dynamics GP 2010, FRx is no longer supported by Microsoft on v2010 and future versions. It has been replaced with Management Reporter. (FRx is included in your GP purchase at no additional cost.)

3) Management Reporter ( MR) – is the replacement for FRx going forward 2010 and beyond. It utilizes many of the same concepts that FRx had. If you have an understanding of Microsoft Excel this tool should be very easy to use due to the familiar column and rows structure. You’ll also use Management Reporter for financial reporting such as Cash Flow, Balance Sheets and Income Statements. You don’t want to use MR for printing a list of goods sold. You’ll do that in SmartLists, see below. (MR is included in your GP Purchase at no additional cost.)

4) Smartlist – This is functionality which comes with predefined queries that one can provide multiple restrictions in to get out the desired data. Once the data is retrieved, it can be exported to Microsoft Excel or Word with the click of a button. (Sweet!) This is where you go print your list of goods sold or an employee list. (SmartList is included in your GP purchase at no additional cost.)

5) Smartlist Builder – At times the predefined queries don’t provide you with the information that you a looking for, so you need to go and create additional tables, views or queries that will give you that information. If using Payroll and HR many of our clients purchase SmartList Builder to run “what if” scenarios with salary increases as well pricing scenarios. (SmartList Builder is currently priced at $1,950 and is worth every penny.)

6) Word Templates – At times you may have a situation where a Report Writer works just fine for almost all your needs. Then, as an example, your company expands and wants to have a different logo for your Invoices and A/R Statements. Word Templates lets you use existing Templates, modify them with a different logo, then save them with a different name. When it comes time to run the Invoice you can pick which Template should be used based upon the company you are in. (Word Templates is included in your GP purchase at no additional cost.)

7) SQL Server Report Services (SRSS) – this tool expands report writing flexibility with more than 90 built in reports. If you want a prettier report (fancier than Report Writer) you can use the wizard which makes it easy to deploy also. Those of you that are familiar with Crystal Reports may feel very comfortable using SRSS also, as they are fairly similar.

Let’s summarize!

So really what is the correct reporting tool? Well the answer is “it really depends”. If your needs are very simple, using the prepackaged Report Writer tools may be enough. However, if you want more detailed financial information, Management Reporter is the way to go. If you want something prettier, but need more flexibility, then you might want to look into SQL Reporting Services (SSRS).

Exporting Data to Excel?

If you need to get information out of Microsoft Dynamics GP quickly and be able to “play” with it in Microsoft Excel, Smartlist or Smartlist Builder will be your tools of choice.

Personalize your Reports

Finally, if you have multiple needs for the same type of information but it needs to look slightly different, the Word Templates would be something to look into for including company information or logos on Invoices and A/R Statements.

<span

So let’s review five of the worst practices for ERP Software implementation:

Picking the First Partner that Comes Along: When companies don’t do their research in picking the right software partner, it usually backfires in the end. The relationship with your software partner should be one of trust and you need to be sure of their expertise and ability to help you with your business needs. Get referrals, do online research, and spend time to share your objectives with your prospective partner. A great partner will be with your organization for many years to come and this is a time you should be picky.

Don’t get the CEO Involved: As with any major business change, your CEO should be onboard. If they don’t know what’s happening or are unfamiliar with the software, then adoption of that software throughout your organization is at risk. Make sure everyone’s on board for the software investment to ensure greater implementation success.

Growing Impatient with All the Questions: Software implementation requires a lot of steps, but for good reason. Many times companies will get impatient with the business process review, which is a vital step in the process. Make sure to get as much information as possible to your software partner so they can ensure the software does what you need it to do. This is a good time to check with all the departments at your organization and get a feel for what they need the software to do.

Skipping Training: Many companies think they can save money in software implementation by skipping the training portion. This is among the top worst practices we see with failed implementations. This backfires quickly and greatly reduces the return on investment for these companies. Even if users know the basics of the software, there’s still so much they could be missing. With how intricate ERP systems are today, it’s so important to receive proper training from software experts that know all about it.

Ignoring Upgrades: Software upkeep is just as important as software implementation. As you already know, technology changes faster than we can keep up. Keeping up with these changes is the exact job of your software partner. They keep abreast of the updates and upgrades to ensure you have the best software possible for your specific business needs.

If you’re interested in <a

The performance of your software won’t help you meet those challenges unless it is used optimally. That is why as your partner, DFC stresses training in application usage.

There might be two, or ten, or even fifty people who may be called upon to adapt to the new technology environment and to master your new comprehensive business solution. Getting your employees acclimated and confident is crucial to the effectiveness of the solution.

Here are a few things to ask about your Partner’s training center.

Is the training center Microsoft Certified? Are the trainers actually Microsoft Certified
Trainers (MCT)? Microsoft Certified Trainers are the premier technical and instructional
experts in Microsoft solutions. We have five MCT’s.

How many training classes have been provided in the
past 6 months? We’ve done 12.

What does the next few months of training look like? Ask
to see their calendar of events. Here’s our
calendar.

What does it take to be a Microsoft Certified training center?
Microsoft measures how our clients grade our training and training center by surveys after each class. To maintain our Certification, we must constantly meet Microsoft’s qualifications.

Why does it matter? Microsoft Certified Trainers have completed rigorous training and met stringent technical certification requirements. Microsoft
Certified Trainers are the only authorized source to deliver training by using Microsoft Official Courses.

Did I mention we have 5 Microsoft Certified Trainers? Yes, 5. And they are awesome. Mike, Allen, Deb, Kurt and Carol.

DFC is the only Microsoft Certified Training Center in North Dakota and one of the largest in the Midwest teaching over 20 classes in the past 12 months. We offer instructor-led classroom training in a structured, hands-on, question-and-answer environment. View our <a
