In that scenario, you are pretty much forced into a corner where you must either adopt their new system, hang on to your old one long past its life expectancy, or begin shopping for a completely new ERP solution.</p><p>In less extreme scenarios, you may just have to get acquainted with a new vendor, new customer service reps, and maybe even new branding. Ultimately, in this situation it is possible to survive.</p><p>Is there a way to avoid this waiting game in the first place? href="https://community.dynamics.com/search/searchresults.aspx?location=topbar&amp;q=ERPONYOURTERMS">Dynamics Community blog</a> or follow #ERPONYOURTERMS on twitter. </p><p><strong>Three key ingredients that the perfect ERP vendor should be known for include:</strong></p><ol><li>Long-term customer relationships,</li><li>Great ongoing service,</li><li>A network of local implementers that will be there to support you after the sale.</li></ol><p>&nbsp;</p><p>The big <strong>question</strong> should be <strong>“What is the vendor&#8217;s customer churn rate &amp; reputation for service after the sale?</strong>”</p><p>&nbsp;</p><p>This question should be asked ahead of the sale, and should include BOTH the <strong>Vendor</strong> of the Software AND the <strong>Consulting Partner</strong> you have chosen to assist you in your implementation.  You never want to experience a post-sale depression mode.  This is the time for <strong>excitement, progress, and fantastic results! </strong> Instead, you could be stuck only knowing the basics about the software, not be privy to tax rule changes, or even be stuck with additional locations or implementation changes you need that the vendor can’t handle.  <strong>So, here are follow-up questions to the one above</strong>:</p><ul><li>How is customer support handled?  Is support available through the qualified reseller? What are the travel charges for on-site assistance?</li><li>Is the vendor&#8217;s ERP solution well-known in your country and industry? Will they continue to be a ‘player’ in the industry based on customer satisfaction?</li><li>Does the vendor or their reselling partner offer a full range of customer support skills and capabilities? Expertise with the specific ERP solution you&#8217;re evaluating is essential, of course. But could the vendor&#8217;s support team also help you with customer relationship management, productivity software, and other applications you want to integrate with your ERP? How about their experience with both on-premises and cloud-based ERP solutions, or a hybrid solution involving both approaches?</li></ul><p>&nbsp;</p><p>For more questions you should ask, <a

href="http://blog.hubspot.com/blog/tabid/6307/bid/30449/how-google-is-changing-the-web-even-though-no-one-wants-it-to.aspx">ways that Google+ is changing how people use the internet</a>, even though people don’t really <em>want</em> to use it.  As I read, I was struck with how familiar the language was.  Especially phrases like:</p><p>“Features don&#8217;t matter. In fact, focusing on features does nothing more than over-complicate a message and reduce the adoption speed of a software product.”</p><p>AND</p><p>“Users care about a set of minimally viable features and a simple, user-focused design. Google is getting past focusing on features and working more on points of integration with other products.”</p><p>Those are the exact same concepts that Microsoft has been embracing when developing updates to their <a

We knew we were up against the same competitive sales manager. He had researched the Microsoft product, VAR sales channel, our company, and (courtesy of LinkedIn) me personally.</p><p>Building on the <a
href="http://www.erpsoftwareblog.com/2011/10/what-a-prospect-learned-when-they-didn%e2%80%99t-choose-microsoft-dynamics-gp-salespad/">6 lessons learned from the first sale</a>, we provided our second prospect with facts prior to the competition putting their spin on these issues.  Doing so in advance helped our prospect cut the competitor’s discussion short.</p><ul><li>Knowing that a stable software developer is crucial, I provided news releases on Epicor’s acquisition of Prophet21 and the turmoil they will likely experience for the next 2 years.  I personalized the issue because I had experienced the turmoil Microsoft endured with its acquisition of Great Plains Software.  When the Epicor/Prophet21 sales manager couldn’t meet or demo with the prospect for 3 weeks after their initial contact because of the changes in his sales channel, this appropriately became a deciding factor for the prospect.</li><li>I provided information on the Dynamics GP product roadmap up to Version 16 as it was recently announced.</li><li>We knew any competitor would discuss Microsoft’s partner channel changes. I shared our recent successes, sales information, service orientation, and 22-year track record to assure our prospect that we are not going away.</li><li>With multiple client references we proved that we may be small, but we have extremely high loyalty from our clients because of our service orientation and the fact that we stand behind our promises. This was a key point as they had been let down significantly by their Prophet21 reseller a decade ago.</li></ul><p>Our solid credibility with the client also helped us surmount the challenge that came when the client deferred their decision 30 days while they evaluated another product: SysPro. SysPro is a nice product from a nice little company.</p><p>We re-established our product. We provided SysPro’s case studies which primarily centered on batch process control manufacturing. Our client was strictly discrete product wholesale distribution, so we established the potential for a mismatch of features.</p><p>We went on to counter their criticism that we would be using third-party products and they would not. With research, we demonstrated to the client that SysPro would be using third-party warehousing, EDI, and fixed assets.</p><p>We discussed stronger multi-currency functionality and financial consolidation.</p><p>We laughed together when our prospect said there was one issue brought up about me personally that I didn’t expect.  It was alleged that I did “not have many installations under my belt.”   I had already provided a personal profile that detailed more than 22 years of GP installations and cited multiple mainframe and minicomputer installations prior to that.</p><p>The winning functionality in this sale was SalesPad. We love<a

href="http://www.erpsoftwareblog.com/2010/12/backing-up-your-dynamics-sl-data/" rel="bookmark">Backing Up Your Dynamics SL Data</a></li></ol> <br/> ]]></description> <content:encoded><![CDATA[<p>As we all know, backups are such an import part of your daily maintenance routine.  One of the many reasons companies choose to implement their ERP solution in the cloud is not having to worry about their daily backups.  That being said, I am always amazed at how little prospects ask about it or truly understand what is being backed up and for how long.   Even though there are thousands of people who use products like QuickBooks Online, NetSuite and Microsoft CRM online, none of these online providers will actually give you a “point in time” restore.  So you ask, what exactly is a “point in time” restore?</p><p>Let me break it down to a real life scenario:  On Monday morning (after a long holiday weekend with lots of turkey and football) your accounting department imported a massive sales transaction to your ERP system for sales that occurred over the weekend from an outside billing system  (maybe the point of sales system).  The person who did the import wasn’t at their best that morning, and didn’t realize that instead of importing the transactions into Company A, they accidently imported the transactions into Company B.  Unfortunately this mistake wasn’t discovered until Wednesday afternoon, when the Controller started looking at the posted entries in the General Ledger, and wondered where all this revenue came from.   Unfortunately by then lots of other transactions had been imported and the option of backing them out was not realistic.  So now what?  Well, a restore from last week (point in time) might be just the fix, so they check with their hosting provider to find out that a restore from last week is not possible because the company does not provide this sort of service.  “What”, you say, “How is that possible?”  Well, you come to find out that the hosting provider only backs up in mass, and they only backup for their own disaster recovery purposes!!  And since the environment is multi-tenant, they cannot just restore <span
style="text-decoration: underline;">your</span> database!!!  So no point in time restore and no individual company restore either.</p><p>Here is another real life scenario:  It is April and your auditors have come to visit.  As part of their annual review, they ask how your ERP system is being backed up and request that you restore a backup from December (4 months ago) to make sure that your hosting provider is retaining important information from last calendar year. You contact your hosting provider to find out that only 90 days of backups are kept and after that all data is overwritten or purged from the backups!!!  What?  Why weren’t you told this!!  Well, maybe you made an assumption that the cloud would automatically provide this?</p><p><strong>Not All Hosted Backups Are the Same</strong></p><p>While these scenarios seem unlikely to you, the three large providers I mentioned above cannot provide you with the backups you would need in either of these cases.  And neither do many other hosting providers!!  So what should a customer know and compare with hosting providers to make sure they are getting what they need in terms of backups?</p><ul><li>Have your provider specifically give you the terms of your backup retention periods.  Most only provide for 90 days.  Here is what we recommend:</li><ul><li>Daily, weekly, monthly and annual – Point in time backups and restore capability</li><li>Seven years of data retention – this is recommended for both private and public companies</li></ul><li>Be sure to ask for the additional costs of those backups – so this doesn’t come as a shock later</li><li>Be sure you understand how much storage backup you will receive as part of your fixed monthly costs – another hidden cost that providers don’t share on their quotes</li><li>Make sure you understand exactly what is being backed up; data, custom code, Excel and Word documents you happen to store, scanned documents that are attached to your data, etc.</li><li>Ask for their written policy for “test” restores.  And if you are required to be audited, ask that a test restore be performed and documented at least twice a year.</li></ul><p>Never make the assumption that because you are in the cloud, everything is backed up forever.  And always compare backup policies carefully amongst providers!</p><p>RoseASP has been a Microsoft <a
