There are a wide variety of different types of Microsoft Partners that exist in order to meet the different types of needs and requirements for different End-Users. I have put together a list of some questions to ask yourself to ensure you have a Partner that best fits your organization:

 1.       Do the competencies of your Partner align with your business requirements?

Microsoft has a wide range of competencies that a Partner must attain, look at which certifications your Partner has in order to have a better idea of their strengths and fit to your organization’s specific requirements. Be aware of which vertical industries the Partner specializes in, in order to have a clear comprehension of their experience in your industry and if they are considered experts in your field. With your Partner’s expertise, you will be able to work together to align your solution in order to incorporate your industry’s best practices by understanding your needs and offering solutions tailored to your specific industry.

 2.       Does your Partner have the breadth of services that your organization is looking for?

Do your homework and check their customer references. When you speak to references, don’t only ask about the implementation process; ask how proactive they were during and after go-live with your system. Also discuss the frequency of communications, number of training sessions, frequency of User Group activities and informational updates as these are the long term activities that create a mature stable solution.

 3.       Can your Partner suggest different solutions to meet your different organizational challenges?

With the flexibility of the Dynamics product line and integration to Dynamics ISV solutions, there is usually more than one solution that could meet your organization’s requirements. Your partner must take into account the software and services you require and ensure that the proposed solution is fully integrated in line with your goals. The solution should enable you to streamline business processes and increase performance to make the most of your investment.

 4.       What level of involvement are you expecting from your Partner?

Some companies will try to delegate projects in their entirety to the firm implementing the solution. Others will do the exact opposite and actively participate and learn the product in order to try and reduce costs. You need to ask yourself: What type of customer am I? Do I really have the resources to do all the work myself or am I better off to have a Partner involved, helping with training and researching new solutions and updates?

 5.       Why choose one type of Microsoft Certified partner over another?

With a Certified Partner you are guaranteed that they have made a commitment to have several employees that are trained on the Microsoft solutions. These Partners have been tested and validated on their level of professionalism, the quality of their work, and their knowledge as well as implementation of Microsoft Dynamics or the development of add-on solutions.

Once you have decided on a solution that best meets your needs, you also need to be assured that you have found a Partner who will meet your expectations moving forward with regard to your needs for training and providing information on new technologies and product updates. These are all key success factors to protect your investment. By effectively using your system to its full potential and by asking yourself these questions you will be better able to guage your expectations and requirements.

 I strongly suggest that you be open with your Partner from the beginning and ask these questions so that the Partner is aware of your expectations so they will be well informed and able to meet them. This will reduce your chance of being disappointed with the level of service later on. Also, don’t be afraid to make your concerns heard if you feel that your expectations  are not being met. It could happen that your organization’s original needs have changed and so you should make your Partner aware of these changes in order for you to remain informed and up-to-date on your Microsoft solution and to continue to take full advantage of your system.

Some ERP software publishers have a direct sales and implementation model.  In this model you will be purchasing directly from the software publisher and then working directly with their professional services team to implement the software.  In some cases, the software publisher may also have a Partner model to choose from instead of working directly with the software publisher.  Other ERP software publishers, like Microsoft, have a Partner driven model in which you make the software evaluation and purchase along with the implementation services from a Microsoft Partner.

Regardless of which route you choose, it will be very important for you to thoroughly evaluate the implementation partner you are going to be working with to ensure a successful project.  Here are five key things you should look for in an ERP implementation Partner to help ensure your success.

1. Certified
2. Methodology
3. Breadth / Depth
4. Industry
5. Relationship

Let’s take a look at each one of these with a little more detail.

Certified
Many software publishers now require specific certifications and exams that must be achieved in order to resell and implement their software applications.  Be sure you are working with a Partner that is certified by the software publisher to sell and implement the application.  Beyond the software certifications you should look strongly at the business and technology certifications the Partner’s professional consulting team holds.  Having strong business acumen along with technology skills will lead to a better overall implementation.

Methodology
Implementing a new ERP system is no easy task.  It takes a strong proven approach to ensure success.  Make sure your implementation Partner has a proven methodology broken out into steps that will successfully lead you through the process to get the results you want and need.  If a Partner doesn’t have one, then look a different direction to find a new Partner.

Breadth and Depth
You need a Partner that has the ability to understand and execute on all the functionality the entire ERP system has.  It’s more than just accounting functionality.  If you are a distributor or manufacturer you need to make sure the Partner has skills sets in all those areas of functionality as well.  This will most likely mean you need to find a Partner that has more than just a couple certified resources.  

Industry
Software applications out of the box are the same when they ship.  Where the true “value add” comes from is how the system is configured to meet your specific requirements.   Your chances of success increase greatly if you work with a Partner that understands your industry and has done many successful projects in your particular industry.  Listen for them to speak your industry language and talk about examples relevant to your industry.  Ask for references or case studies and then follow through on talking with those references.

Relationship
When selecting an implementation Partner it’s important to select someone you know, you like, and you trust.  Having these three elements will go a long way in your relationship together.  Beyond these initial elements you also need to think long term after this initial project is done and a Partners ability to support you and offer value added services to you.  Things to think about are support offerings, training availability, educational events, user groups, accessibility, etc. 

As you can see, selecting the right software application is only a small part of the equation.  It’s selecting the best implementation Partner to make that pre-packaged software application the right fit for your business, for today and for many years to come, that is the most important part!

 The financial implications of ERP implementation vary depending on the business, but the tech jargon is pretty universal. We may not be able to help you with the former, but we can certainly shine some light on the latter.

Two tech terms that are currently big in business technology are “cloud computing” and “virtualization”. Sometimes the two are mistakenly used interchangeably, and often times, CFOs approve or deny funding for new technology that uses these terms without fully understanding them. So here is a straightforward explanation:

Virtualization

IT companies love virtualization because it allows them to save physical space, power, and ultimately money. If your company does not have its own data center, virtualization may not directly affect you, but if you subscribe to a service provider that uses it, they will pass the savings on to you.

In the simplest terms, virtualization allows the system administrator to run multiple virtual machines within a single server. Instead of one ERP implementation on a single server, virtualization allows for the possibility of multiple implementations, each running in their own isolated environments and operating systems.

When is server virtualization the right choice? It may be right for your organization when: 

• it’s time to replace your servers
• you’re adding a new application
• you’re seeking improved performance
• you need a Disaster Recovery solution

Cloud Computing

The definition of cloud computing is not quite as precise as virtualization. Essentially, any service, platform, device, or other technology that is hosted off-site by someone else could fall under the umbrella of cloud computing.

In most cases, those who speak of cloud computing are referring to “software as a service”, an implementation model where the software is hosted and maintained by a service provider. The customer can access it from a remote location, on demand, and usually pays for the service on a subscription basis.

At a high level, here is some information to hopefully help the typical end-user in what all the hype is about.

On-Premise

Your Dynamics GP reseller or IT company should evaluate your current IT infrastructure to determine if it is suitable for the Dynamics GP and associated products deployment. Network speed and health are critical to end-user adoption of a new system.  If it is slow, then the software is blamed.  CIS can recommend upgrades if needed to ensure a secure and fast software experience. 

• Do you have an investment already in server and network environment?
• Do you have regulatory requirements that require your data to be onsite?
• If you have poor Internet or problems with Internet, the on-premise might be your best option.  However, this can sometimes be corrected with the right vendor.

Cloud (SaaS)

Cloud ERP deployments can be a good option if the long term costs are not a lot higher than buying the software out right.  Keep in mind that with the Cloud you are renting the software and do not own it.  Things we help you consider are:

• Do you have a redundant Internet source? If your Internet is down, then processing on the Cloud application will stop.
• Over a 3 year period will you be paying more for this rental than deploying on-premise or hosted?  Keep in mind though network servers are usually obsolete after 3 – 4 years.
• Would you benefit from an on-premise server to install other programs for your business? 
• As always, check with your auditors about off site data.  Some regulatory agencies do not allow for data to be off-site regardless of the security that is in place. 
• Some Cloud providers state that you can get updates to your software at anytime, including upgrades.  This would concern me if I were a business owner.  I would not want a provider to update my software anytime that there is an update.  Your system should never be ‘upgraded’ without a test system setup first and that you the end-user has thoroughly tested your business processing and data.  I may change my mind in the future, but for now that is my recommendation.

Hosted

Hosted deployments give you the best of both worlds; you own the software, but with less of a hardware investment. 

Cloud and hosted options both require a very good Internet source.  Software is usually ran through a Terminal Server and accessed through Remote Desktop.  This can reduce your workstation costs since the software is not actually running on the desktop.  However, you can also have an on-premise deployment with a Terminal Server. 

Hosting providers such as CIS ensure your data is secure and is available from more than one hosting facility in the event of a disaster.  Redundant backups make sure you are not at risk for data loss. 

Keep in mind that most ERP vendors say that they are in the cloud but in reality the software is still accessed through a terminal server since most are not truly web enabled yet…

Cloud deployment can include a single tenant or multi-tenant system.  With single tenant systems, you can customize software to fit your unique business operations.  Often, your Partner can protect your customizations with future upgrades.  With multi-tenant systems, there is some additional efficiency and affordability, but you lose the ability for customizations because the system is shared by many users.  Although your data is securely segregated from one another, the ability to customize or make changes to the software can affect the rest of the tenants.

Building on the 6 lessons learned from the first sale, we provided our second prospect with facts prior to the competition putting their spin on these issues.  Doing so in advance helped our prospect cut the competitor’s discussion short.

• Knowing that a stable software developer is crucial, I provided news releases on Epicor’s acquisition of Prophet21 and the turmoil they will likely experience for the next 2 years.  I personalized the issue because I had experienced the turmoil Microsoft endured with its acquisition of Great Plains Software.  When the Epicor/Prophet21 sales manager couldn’t meet or demo with the prospect for 3 weeks after their initial contact because of the changes in his sales channel, this appropriately became a deciding factor for the prospect.
• I provided information on the Dynamics GP product roadmap up to Version 16 as it was recently announced.
• We knew any competitor would discuss Microsoft’s partner channel changes. I shared our recent successes, sales information, service orientation, and 22-year track record to assure our prospect that we are not going away.
• With multiple client references we proved that we may be small, but we have extremely high loyalty from our clients because of our service orientation and the fact that we stand behind our promises. This was a key point as they had been let down significantly by their Prophet21 reseller a decade ago.

Our solid credibility with the client also helped us surmount the challenge that came when the client deferred their decision 30 days while they evaluated another product: SysPro. SysPro is a nice product from a nice little company.

We re-established our product. We provided SysPro’s case studies which primarily centered on batch process control manufacturing. Our client was strictly discrete product wholesale distribution, so we established the potential for a mismatch of features.

We went on to counter their criticism that we would be using third-party products and they would not. With research, we demonstrated to the client that SysPro would be using third-party warehousing, EDI, and fixed assets.

We discussed stronger multi-currency functionality and financial consolidation.

We laughed together when our prospect said there was one issue brought up about me personally that I didn’t expect.  It was alleged that I did “not have many installations under my belt.”   I had already provided a personal profile that detailed more than 22 years of GP installations and cited multiple mainframe and minicomputer installations prior to that.

The winning functionality in this sale was SalesPad. We love SalesPad and we think the product will take Dynamics GP to a new level of competition with the likes of Epicor, Profit21, and (dare I say this) NAV and AX. We can provide the out-of-box and cost-effective functionality a discrete wholesaler needs. At half the cost of a Dynamics GP AM license, SalesPad makes the product cost extremely competitive.

We have an 8-user GP and 40-user SalesPad sale. And we are going to knock this install out of the ballpark because we will be there for this company, whatever it takes. That’s how we do implementations.
