/>

That’s a quick fix! That’s an easy fix! Often times these words are said right before the problem at hand gets much worse. A piece of gum in the crack of the dam might make it appear the water has stopped leaking from the outside, but that water is still working through the crack on the inside, building up pressure. How does this apply to an Accounting ERP Software system? Well, humans are human and everyone has made a mistake at some point: A cash receipt posted under the wrong Customer; A typo when entering the document date of the Payables Invoice; Transposing the numbers when entering the monthly depreciation journal entries.

The fixes to these problems might seem easy enough: just pull up the cash receipt and change the customer; call up the Payables Invoice and change the date, bring up the journal entry and change the amounts. But who entered the original document incorrectly and who made the fix? Why was a document’s amount changed? What caused the transaction to be wrong in the first place? And I’m not even an auditor – just imagine the detailed type of questions the auditors might come up with! While some systems might allow you to change a document after it has been posted – I’m looking at you Quickbooks – that type of flexibility can only lead you down a dangerous and perilous path of potential compounding mistakes, un-answerable questions, and possibly even fraud.

With Microsoft Dynamics GP 2010, you will be assured that your accounting software is using the best practices for control and accountability. The proper audit trails and the necessary compliance will be followed. When the auditors ask, you will have the answers to their questions quickly and accurately. The correction of the initial problem might not be as easy and as reckless as taking a few seconds to go into a posted transaction and changing the historical data, but the peace of mind and good night’s sleep will more than make up for the couple of minutes it will take to properly make the correction.

By Quadis Technologies –

“How can I increase the efficiency and productivity of my organization?” Does this question sound familiar? Often one area that is most overlooked when strategizing possible solutions to improving your organizations efficiencies is the ‘backbone’ to any enterprise – the software and hardware system. The role of your business management software solution is an integral part of the overall efficiency, productivity and thus profitability of your business.

If you have an existing software system in place to manage your organization’s accounting and finance needs you need to determine just how efficient and powerful it really is and whether you can draw a clear, direct correlation between your software system and your profitability. A good starting place is to define whether your software systems are disjointed or broken.

To do this, consider your current software system and ask yourself this…how often do you have to rekey data into the system? Do you rely on spreadsheets or multiple systems containing various support contracts to run your business?

Or how about this ‐ how old is the technology you are using to manage critical, day‐to‐day operations? One way to answer this question is to consider your year‐end close process. If the process involves a lot of paper shuffling, you will want to consider the affect or implications this may have on the overall audit trail. Too often we spend countless hours, effort and time readjusting financials because of internal miscues which could have all been prevented with proper consideration and investment in the right technology.

All of these inefficiencies can be avoided. There are many accounting/financial software solutions like Microsoft Dynamics GP (Great Plains) that a company can utilize to increase production, reduce administrative costs and duplicated efforts, and improve employee performance. The use of technology in an integrated manner will aid in building and retaining such efficiencies by automating and streamlining day‐to‐day tasks and drive key business processes. It’ll also eliminate time wasted on tedious, mundane tasks or non-automated procedures and empower your employees to focus on tasks that positively impact your company’s bottom line.

How can an integrated software solution like Microsoft Dynamics really increase operational efficiency?

For starters, let’s take a closer look or internal evaluation of your business processes. Is there any duplicated effort? Can the duplication in effort and tasks performed be streamlined using existing resources? If so, is this the most efficient use of your resources?

Continuously performing the same task one, two, or three different times manually by multiple people within your business may not seem like a big concern or impact on a daily basis but in the long run, over time this will largely affect your company’s operational efficiency. For example, rekeying information into your system may only take 10 minutes a day, but if you look at the big picture, this tedious, mundane task adds up to 9 work days a year, not to mention the possibility of errors, and the time and money used to correct or recover from those errors.

A proven, stable ERP/accounting solution that is fully integrated will seamlessly automate relevant business processes across teams so your employees can be more effective. If you rely on your employees to help drive the company’s revenue, why not provide them with the tools that help make them more productive?

Provide insight into the most relevant, business‐critical information for everyone in your organization, for effective decision making. Enable your people to have role‐based access to the information they need to do their jobs in a format that makes sense to them. Notify your employees in advance when situations occur that require immediate action or attention through automated alerts helping them to take a proactive approach to their job responsibilities.

Integrated accounting and financial software can increase your operational efficiencies and productivity delivering a positive ROI and a firm competitive advantage. The first step to building lasting efficiencies is to take a closer look at the processes in place that manage your company. Take a look at any duplication in effort and tasks. Look beyond today and consider the long term implications these inefficiencies will have on your business.

By Encore Business Solutions, The TM Group, I attended a Microsoft Dynamics President’s Club reception. When we arrived, Microsoft had 16×24 inch whiteboards on easels arranged according to the number of years that a partner had achieved President’s Club. There were many boards for one year achievement of Presidents Club and as you proceeded down the aisle there were less and less boards and fewer names for each year. Finally, our President Judy Thomas and I came to year thirteen and there was only one name in the middle of a 16×24 inch whiteboard – The TM Group. It was then it I really realized what a unique and special partner I had joined. I still have that poster, although now we have been a President’s Club Recipient for 20 years.

So what, you might say. Should I really care if a company I’m talking to has been awarded President’s Club? Of course, being the only partner to achieve this 20 times, I’d say you should care; but let me try to explain why it matters. As in past years, to achieve the Microsoft Dynamics President’s Club 2010 a partner had to achieve a certain number of customer additions, revenue level, and year over year growth. President’s Club “honors high-performing Microsoft Dynamics partners whose commitment to customers is reflected in their business success and growth. This prestigious group represents the top 5 percent of Microsoft Dynamics partners worldwide. Membership is granted based on their continual, committed efforts aimed at offering solutions that meet the needs of their customers.”

If a partner achieves President’s Club, it is an indication that that partner has a healthy business and will be there to support you when you need them. The longer they have been a member of the President’s Club, the better the indication of the stability and viability of their business. Also, if a company is consistently awarded President’s Club, meaning that they continually meet or exceed Microsoft’s expectations, they would typically have a very good understanding of Microsoft Dynamics GP and the other Microsoft Dynamics solutions and they probably maintain great customer satisfaction ratings because otherwise, they would not be able to grow their customer base each year because that requires referenceable clients and has a snowball effect on future sales efforts. There are some very large and/or multinational partners that make President’s Club based on sheer volume, but even they still have to maintain growth year over year to qualify for this award.

So yes, you should care if a partner has been awarded President’s Club. And, you should care how many times. I wouldn’t make your whole decision based on this, but it is definitely decision criteria that should be included in making a choice in what partner you should purchase Microsoft Dynamics GP from and what partner should be utilized to support your Microsoft Dynamics GP solution.

By Ken Jacobsen of

In a recent (2009) conference, hosted by Computerworld, it became clear that SaaS is now mainstream. To quote some of the attendees:

“SaaS adoption has moved past the ‘tipping point’”

“A new ecosystem is forming around Cloud computing that will transform the IT sector.”

“SaaS is not an optional disruptive technology.”

“Cloud, SaaS and Mobility are helping to make the “boundary-free enterprise”

In a nutshell, subscription-based software and services are getting stronger and stronger, offering more and more benefits to businesses. For example, nine out of ten companies plan to grow their use of “Software as a Service,” according to the Gartner Group. Should you be on this list? Consider the following:

Business Drivers

Businesses of all sizes are moving to SaaS because of lower upfront costs, shorter implementation times, less implementation risk, reduced need for hard-to-find in-house technical resources and more flexibility to right size systems (up or down). SaaS has a proven track record of reducing ongoing IT operations costs, freeing up capital and resource to focus on driving the business forward to new advantage and competitiveness.

Businesses are adopting SaaS as ‘insurance’ against business disruption and security threats. They’re doing this by taking advantage of the most advanced, comprehensive, and easy to use data backup/restore, virus/spam protection, device recovery services – all automatically and without having to purchase a single piece of software.

Businesses are using SaaS tools to run their businesses better. Whereas in the past, small and medium businesses would lag behind the technology advantages that larger businesses could afford. SaaS levels the playing field for customer management, manufacturing and distribution, HR/payroll, accounting, banking, collaboration, and productivity. Small and medium businesses, through SaaS, have access to the latest, most powerful, and cost effective technology without any capital investment or the need for ‘in-house’ technical expertise.

The adage that ‘old is new again’ is true. Return on investment, risk mitigation, total cost of ownership, and a focus on the business remain central to technology discussions. SaaS has proved it’s worth using these traditional criteria.

Where is the fit?

An additional, recent survey pointed to collaboration products of all sorts as the top application area for SaaS based solutions, with human resources and customer service next on the list. Finance and accounting moved up from 10th place to 5th place in 2010 – one indicator that SaaS is on the move from the edges to the core of the business as the technology continues to mature.

For mid-sized companies, a mix of in-house and SaaS based solutions has been demonstrated by True Religion jeans. True Religion Jeans found that vendor experience and the ability to “try before you buy” testing of potential SaaS solutions improved operation and avoided common adoption mistakes. True Religion also realized the benefit of being able to spend more time focusing on the business needs instead of on technology.

For small companies, the savings are even more pronounced. In a recent presentation, Tom Kelly CFO/CIO at Kardia Healthcare discussed his experience with SaaS applications when he was with 2nd Wind. As an exercise equipment company, 2nd Wind was able to replace virtually all the in-house systems with SaaS solutions and reduced costs by 61%.

The bottom line:

More and more businesses are exploring, understanding, and implementing Software as a Service to drive their bottom line. Isn’t time to explore if SaaS is right for your business?

SaaS is no longer a theory, but is a viable reality that has demonstrated business and financial benefits. Small and medium business, today, benefit the most through the elimination of capital spend, reduction in technical resource requirement, increased business continuity and safety, and lowered overall IT cost.

By

Choosing Microsoft Dynamics GP is a good business decision for just about any company across all industries. I am probably a bit prejudiced since I sell Dynamics GP and its associated products. GP solves not only accounting, manufacturing, distribution, but niche business processing issues. My job is also a lot of fun; I meet new people everyday, I learn about many business processes and industries. In my sales process I discuss our implementation process in detail, but often the prospect and I are so focused on getting the software decision made that we don’t talk about what happens after go-live. I admit it, I am not perfect, and I forget to tell our customers about all our service offerings. Custom Information Services has network services, servers, phone systems, managed services, hosting, report writing with SQL Reporting Services (SRS), Crystal, SmartConnect, SmartList Builder, Integrations, GP customizations (rarely needed), etc., and of course our GP support team. I don’t like bringing the whole ‘truck’ with me on a sales call, I think it confuses my real focus; solving the prospect’s issues with new business software.

It is important for resellers to notify the buyer of what they are buying including the annual maintenance and support plans. Custom Information Services strongly recommends that customers stay on maintenance. Paying your annual maintenance ensures you have access to CustomerSource which includes: payroll updates, software updates and patches, FREE online training for GP, Knowledge Base , paid support calls (the number of calls varies based on the maintenance/support plan you purchase). Keeping your initial investment supported also ensures you can upgrade and stay on a supported version of your software. Why make the investment and then not keep it current? Customers should upgrade at least every other version.

Ask your reseller what you can expect to pay in annual maintenance so you can include it in your future budgets. You should also expect your reseller to charge you for support calls. Keep in mind that our goal is to get you self sufficient during our implementations. However we are available when you need us - we don’t desert you after go-live.

Hire someone new? Use the tools you purchased from GP. Have them go through the GP Orientation eLearning and then if desired, have them go through the eLearning for the module (s) they will be working with. I am confident you will have fewer questions on how they should be doing their day to day work. By the way, I use the help functions in GP all the time in preparing for a demonstration. I have also gone through the eLearning.

Our certification requirements for GP include classes, eLearning and then testing at Prometrics. But there is value from the training; it helps us support our customers better.

When you buy your new GP software you have access to CustomerSource. Please use it! I recommend that you get a Windows Live ID, if you don’t have one, as soon as you sign the sales order. You have to have this to login for access to CustomerSource. Add @microsoft.com to your safe domain email list.

<a

Sending email to srq@customis.com connects the sent email address to your company records in our service management software. The email becomes a support ticket so it is important to include a summary of your issue in the subject line, i.e., GP New Hire Setup Needed. The customer service manager then schedules the appropriate consultant or tech to take care of your issue.

Going through the customer service department allows for more visibility of your issue to our team upon receipt of your call or email and until the ticket is closed. You also receive emails updating you on your ticket status.

CIS has completed implementations for 20 years and has many active customers. We make every effort to assist our customers and welcome feedback at anytime.

If you care to comment on the information above or have any questions please feel free to contact me at 817-640-0016 x 109 or by emailing me at <a

GP can be set up with multiple processing steps and workflow for high volume transactions. Either way, the software offers the checks and balances needed to ensure that mistakes are not made or can be easily corrected with a full audit trail.

The last promotion Microsoft offered was the 3 users for a $1 which ended on June 25th. This promotion greatly expanded the visibility in the marketplace including companies with a small accounting group. I recently met with a small two user company that will utilize Accounts Payable, Fixed Assets, General Ledger, and Bank Reconciliation. The controller is concerned that the AP clerk will make mistakes in the new system since he is not an accountant. We encounter this issue with most of our customers. Clerical staff does not have to have strong accounting skills. The software can be set up to default GL accounts based on the vendor, customer, item, service, and / or site specific. Therefore your clerk does not even have to look up accounts if that is your preference. This controller can also place security on the posting function and even at the account level so the controller or manager can run an edit list first, make corrections if needed, and then post. The controller can make corrections on posted transactions easily with security access.

Which brings up another feature; the controller has the ability to close a period for data entry with a click of a button. Perhaps you don’t want your staff to enter transactions in July for June transactions. All you have to do is close June for processing. If you need to make adjustments then you open the period and enter anything you need to for the last period. You can also close June for Sales / AR processing, but keep Payables and GL open.

Whether you have 2 or 200 users Dynamics GP can be setup to work efficiently with ease and with full view of transactions and the security with audit trails to make corrections to ensure your staff does not need to be accountants! One of our customers told me that she liked GP because it was so hard for her staff to make mistakes and that when they do the software is forgiving…

If you care to comment on the information above or have any questions please feel free to contact me at 817-640-0016 x 109 or by emailing me at

Successful Accounting Partnerships

Trusting your accounting processes and information to an ‘outsider’ is a big step for any small and medium sized business owner. After all, the ability to track inventory, place orders, send out bills, and collect and managing cash is core to every business and something that every business owner should take very seriously.

But, you’re at the point where your ‘in-house’ accounting option – be it spreadsheets, QuickBooks, or other – just isn’t meeting the needs of the business any more. You’re exploring options and some of those options include subscribing to accounting software. How do you make sure you don’t get ‘stung’ by your accounting software partner? Here are eleven things to look out for as you narrow the choices and make your decision:

1. Know your requirements: undertaking an evaluation of accounting solutions and potential partners can’t be done casually. At least have a good grasp of your high-level requirements for tracking and managing your business, customers, and cash.

2. Experience: determine what types of projects the potential partner has done in the past. Have they done any accounting projects that are similar to your business; and, who from their team will be working with you?

3. Solution options: seek out those potential partners that have multiple solutions available for evaluation. Your business has some unique characteristics that may not ‘fit’ into a single solution. Also, look for solutions that are configurable, open to changes, and have migration tools for ease of setup and transition.

4. References: require that any potential partner provide references for their solutions, their company, and their people. Make sure that you’re able to determine the ‘good, bad, and ugly’ before you make a decision. Remember, whoever you end up choosing, you’ll be partners for some time to come.

5. Partner characteristics: get the company details. Length of time in business, office locations, employees, employee experience, number of customers, industries served, best successes and worst failures.

6. Delivery successes: determine the processes that the potential partner uses to increase success rates. Find out how often the potential partner has been successful. Don’t use the potential partner’s success criteria; judge success by the customer’s criteria. Become confident that if the partner undertakes your project, they will be able to deliver — on-time and on-budget.

7. Automated tools: does the potential partner have automated tools that will smooth out, speed up, or lower the cost of your transition and implementation? Or, is most of the work going to be done by people? What are the limits of their tools and what is their overall plan to fill in the gaps to successful project completion.

8. Hidden costs: find out up front what the potential ‘hidden costs’ of the solution are. Are they in the assessment, configuration, implementation, testing, roll-out, support, additional licenses, or other items? Strive for a ‘no surprises’ environment when understanding the cost of the solution, before, during, and after the implementation.

9. Business impact: every time a business adopts new technology or undertakes a new project there is an impact on the business. Ideally, the impact is minimal. Find out from the potential partner what they expect from you and your people through the process. Determine the time, information, and technology impact to your business ahead of time and calculate the financial cost. Remember that the cost of the accounting solution is only one part of the cost. A disruption in your business is also a cost to be considered.

10. Risk mitigation: every project has risks. Ask the potential partner their process for mitigating risks such as project slippage, cost escalation, and data loss. Make sure they have your success at the heart of the project.

11. Partnership/communication: Remember that the potential partner is in full ‘sales mode’ at the beginning. Once they have your business, make sure they continue to value you as a customer. Understand their communication methods, vehicles, problem escalation path options, who you will be dealing with, and how you can remain a priority to them.

By <a

In order to answer that for your company, you need to ask yourself:

What level of integration do you need? The larger the organization, the more challenging it is to connect systems, processes and people. Rapid growth or a business acquisition can transform a midsize organization into a large organization overnight. Without effective connectivity across departments, efficient work processes are compromised. Poorly integrated business processes and limited visibility into workflow are not only costly, but they have a considerable negative impact on organizational agility and competitiveness.

Is your ERP solution delivering what you need? Most businesses already have an integrated ERP solution, but many times they are monolithic and proprietary (non-standards based), and difficult to customize or add new functionality to in response to changing business needs. Are you often exporting information and manipulating data in Excel? Does your system generate the <a

Yet despite this, many companies maintain decentralized practices for one compelling reason – different needs across an organization are often better supported by local adaptation rather than central standardization. If your ERP system is not flexible, the net result is a system intended to be centralized instead is deployed in a decentralized fashion, reducing the level of integration and increasing costs, precisely what ERP systems were designed to control.

Upgrading to an agile ERP solution such as Microsoft Dynamics GP can give your organization the tools you need to run your facility with the greatest efficiency and insight. It can sharply reduce the time and effort for key accounting tasks, provide easy access and analysis of integrated, updated information, and connect smoothly with operations across your entire organization.

By Intellitec Solutions, <a

And the answer is clear – Microsoft Dynamics GP is here to stay. No question. And if there was ever any doubt about the popularity of Dynamics GP all you have to do is look at the statistics for June 2010. Last month, June 2010, more customers bought Microsoft Dynamics GP in just ONE WEEK than in the whole month of June 2009. In fact, twice as many. This was the largest customer add month in GP history. And Dynamics GP accounts for a substantial percentage of the total Microsoft Business Solutions revenue each year. Customers love Dynamics GP which means Microsoft loves Microsoft Dynamics GP. It is not going anywhere.

In a GP panel session at WPC Errol Schoenfish, Product Manager at Microsoft, reported that there were some very “wide eyed people at Microsoft” at the end of the FY10 fiscal year – astonished at the record breaking sales of Dynamics GP. And they are using the success of the Dynamics GP 2010 launch as the new benchmark to aspire to for other product launches. According to Errol, who has worked in the GP (Great Plains) product channel for 23 years, “there has never been a brighter time for GP.”

In fact, Errol Schoenfish reported today that the developers back in Fargo are already furiously coding away on Dynamics GP “Version 12” due out in 2012-2013. Some of the planned enhancements include a focus on simplicity, productivity, Dynamics user experience, contextual Business Intelligence (BI) and Management Reporter R2.

The word from Microsoft is clear, accounting software buyers can feel confident buying Microsoft Dynamics GP. It’s past and current success, future roadmap and long list of satisfied customers will ensure that it will never just “go away”.

By CAL Business Solutions, <a

Efficiency and cost-cutting are still high priorities as we all watch our pennies and look for ways to make technology work harder for us.

2010 will be the year of the upgrade. A Forrester survey of over 2,000 IT executives and technology decision makers across North America and Europe found that 2009′s economic uncertainty has left a backlog of upgrades that will likely happen this year. According the study,

“Forty-one percent of enterprises and 21 percent of SMBs plan to upgrade existing finance and accounting software

48 percent of enterprises and 19 percent of SMBs plan to upgrade their customer relationship management (CRM) applications

52 percent of enterprises and 18 percent of SMBs plan to upgrade industry-specific software

In addition, more than 20 percent of all SMBs have concrete plans to implement <a
