A worn-out unfounded rumor that some competitors use to inspire doubt in Dynamics ERP buyers has been; “Microsoft owns 4 ERP products now, is Dynamics GP going away?”  The answer is NO.  I am at the Microsoft Worldwide Partner Conference this week, meeting with the managers who make those decisions. And the answer is clear – Microsoft Dynamics GP is here to stay.  No question. And if there was ever any doubt about the popularity of Dynamics GP all you have to do is look at the statistics for  June 2010.  Last month, June 2010, more customers bought Microsoft Dynamics GP in just ONE WEEK than in the whole month of June 2009. In fact, twice as many.  This was the largest customer add month in GP history.  And Dynamics GP accounts for a substantial percentage of the total Microsoft Business Solutions revenue each year. Customers love Dynamics GP which means Microsoft loves Microsoft Dynamics GP. It is not going anywhere.

In a GP panel session at WPC Errol Schoenfish, Product Manager at Microsoft,  reported that there were some very “wide eyed people at Microsoft” at the end of the FY10 fiscal year – astonished at the record breaking sales of Dynamics GP.  And they are using the success of the Dynamics GP 2010 launch as the new benchmark to aspire to for other product launches.  According to Errol, who has worked in the GP (Great Plains) product channel for 23 years, “there has never been a brighter time for GP.”

In fact, Errol Schoenfish reported today that the developers back in Fargo are already furiously coding away on Dynamics GP “Version 12” due out in 2012-2013.  Some of the planned enhancements include a focus on simplicity, productivity, Dynamics user experience, contextual Business Intelligence (BI) and Management Reporter R2. 

The word from Microsoft is clear, accounting software buyers can feel confident buying Microsoft Dynamics GP. It’s past and current success, future roadmap and long list of satisfied customers will ensure that it will never just “go away”.

I arrived in Washington, DC today to attend the Microsoft Worldwide Partner Conference. The conference officially started Sunday, so I am joining the other 13,000 attendees a few days late.  After completing registration and entering the DC Convention Center as an official badge flashing member of the event, my first feeling was, “where do I go now?”. Everyone else, with 2 days experience already, was whizzing around the convention center, striding confidently in the right direction to Salon A, Ballroom B…. while I was still trying to read my little “you are here” map.  I was a bit overwhelmed by the endless choices of sessions, keynotes, expo booths, info stations and more.  I managed to navigate around today without looking like a complete newbie, but I also realize that I missed several things I wish I had known about earlier.  More than likely, tomorrow I will stick with the locations I am comfortable with, and miss a few other cool things somewhere else in the massive maze of event venues.

When a new employee joins your company, learning how to use your ERP/accounting software system can be a similar type of overwhelming experience. Everyone else has been using the software for perhaps several years, and can take for granted the various steps and procedures your company follows for each transaction. “Just click here and here and done.” They forgot what it was like to be given your first login and a “you are here” map.  If you do not give the new employee detailed training for Dynamics GP they will very likely figure out how to get their jobs done, but miss out on using all the other cool functionality the software offers.  They will stick to what is safe.

Also keep in mind that everyone has different learning styles.  At WPC, we are expected to choose our activities and build our schedules for the day online. While I spend as much time online each day as the next Microsoft gal, I still prefer a hard copy printed activity booklet in my hot little hands that I can refer to throughout the entire day.  (sometimes I think companies use “going green” to cover the real truth of “going cheap” but anyway…..).  Remember that not all employees will respond well to online training.  Even though Microsoft offers free unlimited online training for Dynamics GP to all customers we often find that live classroom or one on one training is the most productive way for new users to learn.

So treat your new Dynamics GP users well – give them the information they need to navigate Dynamics GP with confidence!

Last night the competition between Spain and Netherlands was tight (and often violent). Both sides were even until the last 4 minutes of overtime when Spain kicked the winning goal.

This reminded me that even when competition between ERP vendors is very equally matched, just one goal will determine the winner.  Earlier this year, we worked with a Connecticut manufacturing company that was evaluating Epicor vs. Microsoft Dynamics GP with manufacturing.  The scrutiny of each product was intense. The Microsoft FY10 fiscal year just closed at the end of June, and what a year it was!  With the almost unbelievable “3 users for $1” discount offered by Microsoft, CAL Business Solutions saw a 263% increase in the number of new customers that bought Microsoft Dynamics GP this year versus last year.   Since the promotion was announced in the fourth quarter of the Microsoft fiscal year, CAL was able to help 16 companies, most of them located in Connecticut, take advantage of the discount.  This was a savings of up to $11,939 off the regular price of Dynamics GP software for each customer.

 Many of these companies had been considering the purchase of Dynamics GP for quite some time, some as long as 3 years. And the promotion was just the incentive they needed to move forward.

 This 3 Users for $1 was honestly an unheard of deal – something I have never seen in 10 years works with Microsoft. So I don’t expect it to come around again.  However, if you are looking into the cost of accounting software, make sure that you ask about promotions you quality for. We always publish all the current Dynamics GP promotions on our website, but that is not the case with every partner.  You may have to dig a little. One insider tip is that you will always get the best chance of getting a discount from the vendor at the end of their fiscal year. (For Microsoft, this is June.  For Sage, I believe it is March.) Finding a discount may also require you to get creative, for example, ask if there are better discounts for existing customers. Such as a Buy 1 User Get 1 Free deal.  Once you buy the software, the vendor considers your company an existing customer. It could be that anything you buy the next day may be eligible for existing customer pricing. It is worth asking the question!

Have you ever tried to get away with buying a cheaper brand but ended up bitterly regretting it later? And then spending twice as much later to repair the damage?  I learned an important life lesson this week – if you need a product to be really effective, don’t risk bad results by buying the no name product just because it is cheaper. This is true for accounting software….and for sunscreen.

This week I am vacationing at a resort on the “Turiksh Riviera”.  It is an amazing place with food, fun and lots and lots of sun. I went to the hotel shop to purchase sunscreen.  The imported name brand I knew was very expensive. So I decided to buy the cheaper Turkish brand. SPF 25, water resistant etc… Sunscreen is all the same, right? Wrong! I have the red hot burn to show how wrong I was.  What I bought was some kind of white cream that looked like sunscreen, but certainly did not provide the protection of real sunscreen. I learned the hard way. Since the results were important to me I should have paid more money to get the product that I knew would fulfill my needs, from a reputable brand name that I know and trust.

Since I now have plenty of time to sit inside the hotel, out of the sun, I figured I would share my little life lesson/travel tip with you and relate it to ERP software. (Because after all, doesn’t everything in life somehow relate to ERP Software?)

Many companies I have worked with compare Microsoft Dynamics GP accounting software vs. a less well know industry specific vertical software packages.  I am certainly not going to tell you that all other accounting software except Microsoft is as worthless as Turkish sunscreen. But there are a few things i think you should keep in mind:

1) Even if the features seem the same, don’t automatically buy the cheapest product.

Accounting software all looks the same, right? General Ledger, Accounts Payable, Accounts Receivable – money in and money out.  So some buyers assume that if they compare the cost of accounting software packages that all appear to do the same functions, they might as well choose the cheaper option.  But I think the Deloitte and Touch report mentioned in this post (Choosing an ERP System – So Many Things to Think About!) is extremely telling.  It compares the top 10 buying criteria of companies the first time they purchased ERP Software vs. the second time. The first time price was the #1 deciding factor.  The second time “Level of support from the solution provider” was #1 and price was knocked down to #5.  Experienced ERP software buyers realize that choosing the cheaper price is not always the best decision, or even the least expensive in the long run by the time you spend money to fill the gaps or repair the damage.

2) When the results really matter, don’t buy a brand you have never heard of.

When you purchase Microsoft Dynamics GP you are buying a tested, proven product from a brand name you use and trust.  You know that Microsoft has a reputation to uphold and that it will be around for the long term.  Now, I am not saying the independent brands are always inferior. I save a lot of money at the market by buying generic. But I buy generic when the results do not really matter all the much.   Accounting software is the backbone of your business, and getting the wrong product is much more than just a momentary inconvenience. So do you really want to take the chance?

3) If you are evaluating a new product, do your homework and buy from experts who care about your results.

If you are evaluating several ERP software choices you need to have someone you can trust (not just the salesman) be able to confirm that each will give you the concrete results you want. Read industry reports, ask colleges in similar industries, find case studies, read references.  And then buy the software from someone who cares if your implementation is a success. If you buy Microsoft Dynamics GP from us at CAL Business Solutions, we care if you are happy. It means the success of our business because we want you to stay a happy client for a very long time.  Look for an ERP Software partner that values its clients, check customer references and longevity. Even though I complained, I doubt very much that the Turkish shop owner cares in the slightest that I now resemble a shiny red tomato and will spend my vacation indoors.  He knows I will be gone at the end of the week. (Although I guess he has never heard of tripadvisor.com and the power of an unhappy customer with an internet connection.)

4) Buy From a Specialist

This is related to #3, but when you choose your “experts” I personally feel that you should look for a company that truly “lives and breathes” accounting/ERP software.  There are many small IT companies, even Microsoft partners, who specialize in IT support or hardware but also sell some accounting software on the side.  It is a very small percentage of their business. And they probably don’t even use the accounting software they sell to run their own business.  When I bought my sunscreen, the shop owner likely had never used it himself, and if this product is bad and nobody buys it, oh well, he can sell something else. A company that has built their business on selling and supporting a specific brand of accounting software will be truly invested in your success. 5) Don’t assume that just because the product claims to have the same features,that it is telling the truth.

For example, Microsoft can not advertise features that a product does not include.  If you want to buy a “generic” software package from an independent vendor you do not have this same level of guarantee.  They may claim that the product includes a feature such as “inventory management” but are you really sure that they mean the same thing you mean? And will it provide the level of management you are expecting? Is the accounting software GAAP compliant, has it passed any kind of certifications? If you are not happy with what you purchased, will the company stand behind the product? Will they even still be around to help you?

6) Don’t buy a product made by someone who has different priorities or standards than you do.

I initially thought I had been deliberately cheated into buying worthless “snake-oil” (which I still think may be true.) But some sympathetic and wiser tourists told me that because Turkish people are naturally dark skinned, sunscreen does not have the same value or importance to them as it does to us pasty white Americans. So SPF 25 for them provides much less protection that we are used to and sometimes can even include ingredients like bleach to make the skin lighter. To them, it works just fine. To me, not so much. Same product, different expectations.  Very often, industry specific software packages are very good in one particular area of specialty (such as distribution, healthcare or staffing) but the actual financial features are weak. This is simply not what they are most concerned about.  In their minds, the industry features are the driving force and the financial features are “good enough”. But if the quality of the back office financial features really matter to you, you will not be happy with this product.  At CAL Business Solutions we feel that Microsoft Dynamics GP is the best financial software choice because it is a strong, stable, full featured backbone accounting system. But if you want more, Dynamics GP also has an open architecture so it can easily be integrated with a front office/add on system that is specific to your industry.  Everyone does what they do best and you get the results that you want.

The latest buzz in the ERP software world is “cloud computing” (aka “software as a service/SAAS”  or “hosting”).  Basically this means that a data center, separate from your location, installs and maintains your software on their servers and you access it securely over the Internet.  There are a lot of companies out there that are eager to host your Microsoft Dynamics GP software – but who can you really trust with this precious system that is really the backbone of your business?  Here are 9 interview questions you can ask a potential data center/hosting partner to separate the good from the not so good:

1. Where is the computer that will be used to serve my application?
2. Is the data center where that computer is located staffed 24 hours a day, seven days a week? What staff is on-site?
3. What physical security measures are in the data center?
4. Is there redundant power, such as batteries and generators?
5. What cooling and fire suppression systems are available?
6. How many Internet service providers (ISPs) do you buy connectivity from?
7. Do you have a disaster recovery plan if your data center becomes unavailable?
8. Are servers dedicated to each customer, or do multiple customers share a single server?
9. What do you back up and how often? How long do you keep backups? Do you store backups off-site?
In addition to asking these questions, evaluate how well the vendor has integrated its service operations into its core business. Some vendors are only experimenting with the cloud computing model due to its immense popularity. For many, it is an operational change that is inconsistent with their culture.  If this is the case, they will not be able to make customers successful if the processes are not well developed, mature or universally accepted.

When you are trying to determine the price of accounting software here are 3 questions to ask your accounting software vendor or VAR:

1)     How many accounting software licenses do I need?

To calculate the software license cost of accounting software, the first step is to determine the number of people (or users) that will need access to the system.  Remember, this can include people who may be outside the accounting department. For example, salespeople who manage orders may need access to look at invoices or purchasing history. People in the shipping area may need to see whether a particular order is paid and ready to be shipped.  A good software partner will guide you through this process and help you determine what type of access is needed by different users and how you can save money.  Of course, the fewer users you purchase access for, the lower the price. For example, if some people only need access to reports, consider publishing these on a web portal with limited access instead of buying an extra user license.

2)     Is the software sold by user-based pricing or module-based pricing?

User-based pricing means you will pay one license fee per user, which includes access to all modules in the system.

Module-based pricing means you buy the functionality you need (general ledger module, accounts payable module) on an a la carte basis, plus a small per user fee.  If you only need very limited functionality, both now and in the future, buying a module based system can sometimes save you money.  For most companies though, user-based pricing is often a better value and a better investment because you get more for your money.

Microsoft Dynamics GP ERP/accounting software is sold on a user based pricing model. For example, if you buy 1 user of the Business Essentials edition, that user can get access to every module in that version. (of course you can restrict this based on the security roles).

3)     Is the system priced by concurrent users or named users?

If a  system is sold by concurrent user this means that you only need to buy licenses for the number of people who will access the system at the same time.  So  if you have 10 people who use the system you can set them all up with credentials and security rights, but if only 5 of them need access at the same time, you only need to pay for 5 licenses. (the 6^th person who tries to login will be denied access until someone else signs out).

In named user pricing, you must pay a license fee for everyone you set up in the system.

4)     Will you give me the first three users for $1?

To get the deep functionality of Microsoft Dynamics GP the software cost is $2,250 for 1 users on the Business Essentials edition and  $3,980 for 1 user on the Advanced Management edition.  But until June 25, 2010 you can get those same users for just $1.  Essentially, if you need 1, 2, or 3 users you get the software for free.  If you need extra users you pay for those, but you have still save a big chunk of cash.   The only “catch” is that you must agree to pay the 18% maintenance fee on the normal system list price – for 3 years. (usually it is only required for one year).

If you have been considering Microsoft Dynamics GP, now is the time to make the investment, for a lot less cash that you would have paid yesterday. (Once that promo expires there are usually new Dynamics GP discounts available but I have never seen one this good.)

Have you ever been to a restaurant that is a hidden gem? The perfect combination of quality and service.  You can tell the loyal patrons have been coming there for years but you have never seen it advertized or on any local Top 10 Lists. That is what I call a hidden gem!   I found a hidden gem this weekend and while I was sitting there listening to the acoustic guitar player and sipping my fine Merlot, I started to “wax poetic” (to my very patient husband) about why the Dynamics GP consulting company I work for could also be considered a hidden gem .  This was no doubt prompted by the fact that this week I have to complete an RFP (Request for Proposal) for Microsoft Dynamics GP detailing all the “stats” of our company. How many people do you have, how many awards have you won, how many certifications do you have etc…?  Now I agree that those are all important considerations, but I honestly don’t think that they are the biggest differentiators. They don’t help you to get to know the true spirit of a company.  It can sometimes just show who has the largest marketing budget and best PR firm.  In my experience, the largest Dynamics GP Partners with the most awards are not always the ones you would want to work with.  So the longer I sat there (with my glass of wine) the more strange parallels I started to form in my mind between this restaurant and CAL Business Solutions.

Small & Casual: This restaurant was small and casual – nothing pretentious.  CAL is a small partner (19 people) in the small state of Connecticut. Our team is casual and unpretentious. You will never see anyone dressed up in a suit and tie, but we have just as much GP expertise as any other partner out there.  

BYOB: I love restaurants that are BYOB because I feel like they want to help me save money (instead of charging me $10 for a glass that I know costs $6.99 a bottle).  At CAL Business Solutions we honestly do try to find ways for our clients to save money. This could be by replacing GP licenses with less expensive ISV users. Or recommending the Business Essentials version vs. the Advanced Management version. Or simply by not padding our bill with unnecessary time.  Again and again, clients have told us that they choose to work with us because we are fair and we don’t try to oversell or overcharge.

Live Music: Restaurants don’t need to offer live music. But sometimes they do because they know it will make their customers happy.  CAL Business Solutions doesn’t need to offer monthly GP Tips & Tricks newsletters, thank you referral gifts or annual GP user events – but we do it because we feel that it adds value to our customers and makes them happy.

Owner Involvement: Throughout the evening the owner  of the restaurant came over to our table to ask if we were enjoying the meal.   The owner of CAL Business Solutions, George Mackiewicz, is personally involved with every client. We don’t have a sales team, George sells the product and then stands behind it himself to make sure it is delivered as he promised. And he checks regularly to make sure our clients are happy.

What happens with 8,500 Microsoft Dynamics customers, partners and employees take over Atlanta? A whole lot of learning and even more fun.  This weekend Atlanta hosted the 14^th US Microsoft Dynamics Convergence event.  The 8,500 attendees included customers using Microsoft Dynamics GP, CRM, SL, AX and NAV.  Plus Microsoft partners like us, from CAL Business Solutions, and Microsoft Dynamics employees. And of course the more than 200 ISV partners that participated in a giant expo tradeshow to show their products to the community.

The first Convergence event was held in Orlando in 1997. There were 150 people, 24 sessions and 15 exhibitors. Convergence 2010 featured nearly 400 sessions, 240 exhibitors and 8, 500 attendees. Many of the partners here have attended every Convergence since 1997 – what a difference!  It was officially announced today that Microsoft Convergence 2011 will be back here in Atlanta the week of April 10, 2011 – which is sure to set new records.

Every year we encourage our Microsoft Dynamics GP clients to attend this annual event.  I am looking forward to inviting our new Dynamics GP clients who have been able to take advantage of the fantastic 3 Dynamics GP Users for $1 promotion – all the money they saved on software licenses can be set aside for Convergence 2011.

Based on the fact that our clients here mentioned the ISV Expo (showcasing the Add On ISV Products you can connect to Dynamics GP) as the #1 benefit of attending, I am going to encourage more of my clients to attend next year on a day pass or guest pass – which is considerably less expensive than a full conference pass. The guest pass allows you to attend the ISV Expo, Keynote and Convergence welcome event (which is a great party!).  This may be a way for even more of our clients and team members to join us for Convergence 2011.
