You have decided to implement a new management system in your business. Several months ago you started researching with your team to identify the best management solution to meet your company’s current and future business needs.
You’ve chosen a solution. Let’s say for example that you chose Microsoft Dynamics GP because it offers several advantages including financial and accounting features, various complete and meaningful management reports, a single Microsoft platform, integration of all business processes and quick user training thanks to a familiar interface.
Up to that point everything is fine. However, what you may not know is that there are different Microsoft partners capable of implementing the Microsoft Dynamics GP solution. And you might almost have missed the essential: shopping for a provider able to meet your needs!
Because buying a new management system will have a long term impact on your business, your choice of provider is crucial. Buying a management solution is an investment that can be very significant given the product size, complexity and performance. Also, implementing software systematically causes a change in the organization and working methods of the company (this is especially true for integrated management solutions like project accounting software.) Finally, buying an IT solution is a long-term investment which should not only solve today’s problems but also support the company’s development strategy for tomorrow. Therefore, here are some questions that it is wise to ask before signing a purchase agreement with a potential business management solution provider:
1. Does the provider understand precisely my needs, my strategies and my overall goals, both present and future?
2. Is the provider able to advise me on re-engineering my business processes?
3. Does the provider offer me a full range of services needed to run my new system?
4. Does the provider have strong client references in my branch of industry?
5. Will a consultant be assigned to my company?
This last point is particularly important since you will not want to start over explaining your processes every time you call a consultant. You need someone who is familiar with all aspects of your operations.
Choosing a management solution is a strategic decision and involves, above all, choosing a strong and competent provider. A successful customer-provider relationship involves a long-term partnership and may decide the success or failure of the implementation and operation of the new solution.
Take time to meet with various providers and when you choose one, develop a relationship built on trust and mutual respect – key assets for ensuring the ideal operation of your new business management solution. After all, your management system provider is a little like a superhero — you’ll call on them whenever there is a problem to solve and the right provider will be there to save the day!
